[Ansteorra] Guild of St. Camillus de Lellis - Please pardon the bandwidth

I have had several inquiries as to the nature of the The Guild of St. Camillus de Lellis.  
The Guild was recognized by then His Royal Majesty Mahdi at the Beltane games a year ago. 
Time flies when you are having fum. lol. 

I think the best way for folks to get an idea of what the guild is and what we do is to read the Charter for the Guild.

Our Charter for this Inter Kingdom Guild 
  
I Statement of PURPOSE 
  
The guild of St. Camillus shall be devoted to promoting the well-being and enjoyment / participation of The Chronically Ill and Disabled within the SCA. The guild should provide a forum for improved communications and the exchange of information between all those challenged by illness / disability, in our kingdom and those folk in neighboring kingdoms. It should also actively encourage mutual support, respect and constructive feedback among its membership, so that personal satisfaction, improvements in the quality of members lives and understanding of the challenges faced by all who deal with these issues, and thereto fore understanding and enrichment of the kingdom as a whole might be achieved. 
  

II On Guild Heads / House Heads/ Office of Treasurer 
  

a. The Guild head  [GH] of each Kingdom should actively promote guild activities, and support the guild's purposes, The GH is solely responsible for the scheduling of official meetings on a kingdom level, and The GH or a chosen representative [ House Head (HH) ] will run them in an orderly and fair fashion. The Guild head is also responsible for overseeing the duties of the other group leaders, herein known as House Heads. These leaders will head regional divisions of the guild. "Houses" indicate area / regional guild groups within Baronies, Shires, Cantons, Colleges, etc.  These leaders [ House heads] report to their Kingdom Guild Head on a quarterly basis, so that the Guild head may in turn report to the appropriate Kingdom offices and  the Crown in a timely fashion. 
  
 
  
b. The Guild head / House head should publish a newsletter on a regular basis, no less than four times annually.  These newsletters may be electronic [with print copies available to those without computer access.]  They are responsible for distributing these newsletters and keeping audit able records of the costs involved [if newsletter is published and not produced electronically]. The GHQ or HH is also responsible for the regular publication and distribution of a guild directory [also known as a piperoll which is a listing of local members and their contact information. The GH or HH, or their deputy is to keep the minutes of all official meetings. 
  
 
  
c. ** If it is needed** A Treasurer for each Kingdom should / may be selected by the membership. Said treasurer should keep audit able records of any transactions involving guild funds, and is responsible for the security of these funds. Moneys, records, and reports shall be kept in accordance with Civil, kingdom and society Laws / Regulations, and the treasurer is required to make timely quarterly and doomsday reports to the kingdom treasurer, with copies submitted to their Guild Head and all local House Heads. 
  
 
  
d. After the installation of the founding charter officers [see listing below] 
  
All Guild heads/ House Heads / Treasurers shall be selected by simple majority [51%] of votes of the membership represented at official meetings. Elections shall be held on July 14 [St. Camillus' day], unless otherwise required for individual replacements. The Guild head for each kingdom shall be voted for either by mail ballot or electronic ballot [only acknowledged guild members will be able to vote]. The treasurer shall be elected on November 14. The official full term of office shall be two years. Guild Heads / House Heads / Treasurer may run for re-election.  Any GH/ HH/ Treasurer may not run for a different position if their terms would overlap. All Treasurers [as Officers] must be paid members of the SCA for the duration of their terms of office. 
  
 
  
III Provisions for Amendment of this Charter. 
  
 
  
a. A proposed amendment should be published in the guild newsletter prior to the meeting in which it will be discussed. 
  
 
  
b. the proposed amendment may be debated at the meeting or in an approved on line discussion [ set up as a courtesy for those members who may be unable to travel / be in "non safe rooms" due to health issues], and then a vote will be taken of the recognized members represented. Should the proposed amendment receive a two thirds majority approval, the amendment will be considered "Carried".   Upon approval, the amended section of the charter should then be published in the next guild newsletter. 
  
 
  
IV. Enactment 
  
 
  
This charter was approved by the Membership of the Incipient Guild of 
  
St. Camillus de Lellis on October 21, 2005  [ AS XL]. This Charter was endowed by Their Majesties, Abd-al Mahdi Jamal ibn Hakim and Valeria Richila Navarro on this day _____________________________anno domini _______________anoo societus  
  
  
  
  
  
 
  
Bylaws of the Guild Of St. Camillus de Lellis 
  
 
  
I. On Membership, official meetings and rules of proxy 
  
 
  
a. A person or group associated with the SCA may become of member of 
  
this guild by submitting their request in writing to the Guild head  or 
  
House head of the guild. This request should include SCA and mundane 
  
names, mailing address, and telephone number whenever possible. 
  
Information which the member should prefer withheld from the membership 
  
list publication should also be indicated at this time. Each member has 
  
the responsibility to correct and update this information whenever 
  
necessary. House heads should pass on any new membership information to 
  
the Kingdom Guild head, so that a complete record of all area members is 
  
kept at the kingdom level. 
  
 
  
b. Membership may be rescinded only through unanimous consent of 
  
two officers [ GH and the member's local HH]  or at the request of the 
  
member concerned. Removal of a member, other than at their request should only be undertaken under extreme circumstances where the action is
  
deemed necessary and appropriate for the  safety of the Guild and its members. This action must be based on documented situations, and not
  
hearsay 
  
 
  
c. All guild business pertaining to guild structure (such as amendment 
  
to these bylaws and the election of officers) shall be voted on at 
  
official meetings, which can happen in person OR over the net. . A 
  
meeting agenda should be published in the  on line newsletter whenever 
  
possible to allow members time for due consideration of the issues and a 
  
chance to vote in writing if they are unable to attend a meeting. Each 
  
member represented at the meeting will be entitled to one vote on each issue. 
  
The guild should keep the meetings brief, and members should endeavor to 
  
attend them, or participate via web or US Postal service. 
  
 
  
d. All guild business not explicitly mentioned in section c (such as 
  
discussing treatment advances, or living with the complexities of 
  
chronic illness, and being a caregiver for a chronically ill person ) 
  
may take place at unofficial meetings anywhere and anytime. 
  
 
  
e. A member's right to vote at a meeting is not transferable. However, 
  
any member who is unable to attend a meeting is encouraged to submit his 
  
votes in writing; either hand delivered or mailed to an officer. Votes 
  
received after the meeting are null and void. 
  
 
  
f. Members should be encouraged to share their creativity and enthusiasm 
  
by teaching, submitting material to the newsletter, and developing new 
  
ideas for guild activities. 
  
 
  
III On Guild Leaders 
  
 
  
a. Guild Leaders may appoint deputies whenever appropriate. Guild leaders [GH or HH] and their deputies should be present at official meetings
  
when it is possible, in view of health concerns. 
  
 
  
b. Nominations for guild leaders should be submitted to the GH or HH at 
  
least six weeks prior to an election for publication in the newsletter. 
  
At least three weeks before the election, the GH will publish an on line 
  
newsletter containing the names of all nominees. Nominees will be 
  
contacted by the Guild head and asked to submit a letter of acceptance and 
  
proof of SCA membership by the time of the election. Nominees failing to 
  
honor these provisions will be stricken from the ballot. Write in nominations 
  
will be disallowed. A member may nominate himself for a position. 
  
 
  
c.1. When the Guild head , A House head  and at least two members of an 
  
area in question, consider  an area leader to be in gross misconduct of 
  
his duties, and they have exhausted all reasonable efforts to change 
  
that leader's conduct, they shall have the authority to remove that 
  
person  from duty and appoint a temporary replacement. In the next 
  
newsletter the Guild head shall report to  the membership explaining the 
  
misconduct and actions taken. An election will be held for the vacated 
  
position at the next scheduled voting day in the usual fashion. 
  
 
  
c.2. When two leaders, and a simply majority of the membership consider 
  
the Guild head to be in gross misconduct of his duties, and they have 
  
exhausted all reasonable efforts to change his conduct, they should appeal directly to the crown for intervention. They should provide the crown with complete information relevant to the misconduct and the actions, which they have 
  
already taken. Should the crown decide to replace the head, the leaders 
  
should offers suggestions regarding replacements. Under these circumstances 
  
any leader in the area might assume the role of ProTem Guild head while 
  
his previous position is temporarily held by another person. In the next 
  
newsletter the group leaders shall report to the membership about the 
  
misconduct and actions taken. An election will be held for the vacated 
  
position at the next scheduled voting day in the usual fashion. Any House 
  
Head the crown had re-appointed to head should resume his old position after 
  
the new election if his term is not over. 
  
 
  
c.3. Any leader removed through this process may appeal to the crown or 
  
the kingdom quarter courts if he believes he has been treated unjustly. 
  
 
  
d. Each local guild house should elect a representative to act as 
  
contact person, this appointment is subject to the approval of the House 
  
head. The contact person shall be a deputy of the head, with responsibilities the head shall determine and should actively promote the accessibility
  
of the guild and its information to the populace at large and it's local membership in particular. 
  
 
  
III On the Newsletter 
  
 
  
a.1. The Guild newsletter shall be called "The Camellian" 
  
[ Our proposed badge for this guild is Argent, An Embattled Camellia on an Azure ground]. All articles, drawings, and other information relating
  
to various illnesses, coping skills and the history of illnesses and treatment are fair game for this publication. Also all local / kingdom activities,
  
meetings, and meeting agendas will also be listed. The needs of various individuals, with various disabilities and needs should both be addressed
  
wherever  possible. Provision should be made for research articles letters of comment, and the histories of illness and invalidism. An emphasis on primary
  
sources should be encourages. All sources used should be credited, and all copyright laws must be observed. 
  
 
  
a.2. While the GH is responsible for the editing of this newsletter, the 
  
members submitting material are primarily responsible for the substance 
  
of that information. 
  
 
  
b. A yearly donation will be solicited from the membership to defray the 
  
expenses for this newsletter [ this is optional, and an electronic copy 
  
of the news letter will be made available to those unable to afford to 
  
donate]. The amount of the donation should be determined by the Guild head and the local House heads and the cost if any announced to the membership at any official meeting. Membership shall not be dependent on donations, through members should be encouraged to receive the newsletter. 
  
 
  
 c. Copies of the newsletter will be sent to all donating members and should be forwarded gratis to the various Kingdoms / Crowned Heads throughout the known world. Some copies should be available for direct sale at a rate determined by the officers. 
  
 
  
IV PROVISIONS for Amendment of these Bylaws 
  
 
  
a. A proposed amendment should be published in the newsletter prior to 
  
the meeting in which it will be discussed. 
  
 
  
b. The proposed amendment may be debated at the meeting, and then a vote 
  
will be taken of the members represented. Should the proposed amendment 
  
receive a simply majority approval, the amended bylaw should then be 
  
published in the next guild newsletter.
