[Ansteorra-archery] Reporting Reminder

At a recent meeting of the Earl Marshal and his deputies we were all asked
to remind our respective branches of the marshallate of their
responsibilities regarding reporting.

** Event Reports  **
Please remember that following all events the Marshal-In-Charge is required
to submit an event report in a timely fashion.  These reports should be
submitted directly to the Regional Archery Marshal, Kingdom Archery Marshal,
and to the Earl Marshal (Yes, that's right.  The Earl Marshal should be
receiving event reports from all branches of the marshallate).  Copies of
the event reports should be maintained in the files of the local marshal and
courtesy copies should be given to the autocrat, seneschal, and any landed
nobility.  The local Branch Marshal is responsible for assuring that the
reports are submitted for all events sponsored by their branch and that the
Marshal-In-Charge does so in a timely fashion.

** Regular Reports **
All Branch Marshals are required to report regularly on the activities
within their branch.  This includes activities such as demos and practices.
Depending on the branch of the marshallate and the policy of the regional
marshal these reports may be due on a monthly basis but are due at a minimum
on a quarterly basis.  These reports are to be submitted to the Regional
Marshal.

At-Large Marshals are also encouraged to keep in touch with a regular report
to the Regional Marshal.  These regular communications assure that when
there are rules changes everyone can be kept in the loop.

On a quarterly basis the Earl Marshal and all of the Deputy Earl Marshals
are responsible for submitting reports to their Society up-lines.
Additionally End-of-Reign reports are required  from these same officers.
Regional and local marshals will likely be asked to help by submitting
supporting material for these reports.


** Injury Reports **
The Marshal-In-Charge of an event is responsible for reporting any injuries
which occur.  The Regional Archery Marshal, Kingdom Archery Marshal, and
Earl Marshal should all be phoned within 48 hours and informed of the
injury.  Additionally a written report of the injury is due within 14 days.
It is expected that any assisting marshal upon the field at the time of the
incident or injury will cooperate by providing a written account of the
matter if they were, in fact, a witness.  The written reports should be
submitted directly to the Regional Archery Marshal, Kingdom Archery Marshal,
and to the Earl Marshal.  Copies of the injury reports should be maintained
in the files of the local marshal and courtesy copies should be given to the
autocrat, seneschal, and any landed nobility.


Everyone please stay on top of your reporting.  Marshals who habitually fail
to report will have their marshallate privileges revoked.  Since I have been
Kingdom Archery Marshal I have received only two Event Reports. (Stargate
Baronial and Loch Ruadh Lughnasadh).

All of the hardcopy report forms needed can be found online at the
Ansteorran Archery Web Pages at http://archery.ansteorra.org     On the
reporting page at this site you will find a handy online form for Event
Reporting.  Just fill in the form and it will be automatically be routed to
the appropriate Regional and Kingdom Officers.  Online Reports for Injury
and Monthly/Quarterly reports will be coming soon.
