These are the notes that I took and got help from the Great Officers flushing out. There may be errors, but it is the best of my transcribing abilities.
 
General – 1757 Total members, 1033 Subscribing, 724 Family/Associate
·         An important lesson was learned during the State of the Kingdom during Round Table. The Kingdom Seneschal is dangerous with cut and paste. He copied one group’s description to another group, and cut out the activities of another. This is why we review the information with people openly and no one should be afraid to ask for clarifications!
o   If I hear other items from the Great Officers or Crown, there may be other additions or corrections.
·         The following Seneschal offices are open for applications with transitions to occur based on the abilities to complete the transition:
o   Kingdom and Northern Seneschals through May 1st
o   Coastal and Southern Seneschals through April 1st
o   Calendar deputy through April 1st
·         The webminister for the Kingdom Seneschal’s website has stepped down after many years of service even while not playing in the SCA. I wish to thank Mistress Clarissa for all she’s done for this Kingdom.
·         Waivers are in a much better state than they were a year ago. There are only a few groups that are having systemic problems getting reports or waivers completed in a timely fashion. The great news is that we are now able to accept copies and electronic format (300+dpi PDF) of waivers which will make compliance a lot easier.
·         Waterbearing has undergone some changes, but most people really won’t notice a difference from their side. The only significant difference is that there is not a warranted waterbearer position. Groups can still provide refreshments to people, and people can decide if they want to take the refreshments or not.
·         The Chirurgeon database is now starting up and is completely off-line. All paperwork needs to go to HE Mercedes for filling.  Anyone that has not renewed their information with her is not on the roster as of this red tape.  Updates need to be kept up for members to continue to be warranted by the kingdom.
·         Hurricane season was pretty rough on the kingdom especially Ike which had at several events cancelled within the Central, Coastal, and Southern regions.
 
Group membership data will be after the name as Total, Subscribing, Family/Associate. Numbers in red are below their requirements.
 
As a reminder, the group membership requirements are:
Stronghold/College – 3 subscribing members, 5 total members
Canton – 5 subscribing members, 8 total members
Shire – 5 subscribing members, 12 total members
Barony – 10 subscribing members, 35 total members
Province – 10 subscribing members, 50 total members
When we made this change, we increased the baseline in order to allow for additional membership types to count for group viability to better reflect the family oriented nature of our game as well as allowing for the more affordable membership types to be taken into account. The exception to this is the case of Provinces where we significantly reduced their burden from 50 subscribing members (200% of a barony) to 50 total members (~145% of a barony).
 
Central Region – 386, 228, 158
Countess Margaret has been appointed as the regional Seneschal replacing Duchess Conal.
HL Aingel has been appointed as the regional Chirurgeon.
Mistress Rhiannon has done a wonderful job with the region but her term of office as regional Exchequer is up and it is time to open the office for applications.
Regional Hospitaler position is open for applications.
	* Dragonsfire Tor – 6, 5, 1
	* Borderline membership being worked on by the group.
	* January membership roster dropped the group below the minimum.
	* Elfsea – 121, 68, 53
	* The group had to cancel their fall event due to the Hurricane. While the local area was no impacted, the site was used as a regional distribution center.
	* The Barony has requested that their perpetual event date be moved from fall to spring due recent history of having their event cancelled for various reasons related to the time of year.
	* Hospitaler office has been open for more than a month and needs to be filled immediately. Someone is in contact with the Kingdom Hospitaler and is likely to be filled by the end of January.
	* Emerald Keep – 21, 10, 11
	* The Seneschal had to suddenly step down and another member is acting until the job can be officially open and an acceptable time passes. 
	* The group discussed voluntary suspension at their meeting and decided that they did not wish to go down this path. It is my opinion that this group is not likely to survive and should not be given lenience with problems in the near to moderate future given the warnings they have received and the frank discussions had with them.
	* Exchequer is doing a wonderful job with the forms and record keeping.
	* Need to confirm if they are going to have no-Herald
	* Glaslyn – 33, 16, 17
	* Having problems with officer volunteering, but otherwise doing great.
	* Lindenwood – 18, 13, 5
	* Borderline group that is having discussions of how to have more activity and recruitment.
	* Loch Ruadh – 30, 20, 10
	* Active group with health practices and two guilds with the best attended bardic practice in the region.
	* Rosenfeld – 40, 19, 21
	* There has been more interpersonal conflict with this group and the Regional had to attend their local meeting in order to discuss it. 
	* Steppes – 106, 68, 38
	* Doing well.
 
Coastal Region – 347, 208, 139
Due to unforeseen modern job issues keeping him busier than expected, Master Francois has had to step down as Coastal Seneschal effective immediately. Master Pug will be doing the duties until the replacement can be selected.
Duchess Ebergardis has stepped up temporarily as the regional Chirurgon. The office is open for applications.
	* Bordermarch – 39, 29, 10
	* Hurricanes Ike and Gustav required evacuation of the area.
	* Over $13K in revenue went through gate and handled very promptly by the Deputy Treasurer.
	* Some communication issues with the Hospitaler. Discussions with the Local Seneschal and Nobility has uncovered that the officer has been in the position more than the allowed time and will be stepping down. The position is being opened for applications and the Regional will be tracking the progress.
	* Gate’s Edge – 38, 29, 9
	* The group has had some interpersonal conflicts reducing their effective size. This includes a lot of officer turnover during the second half of the year.
	* Kudos to Sara Mast, the Treasurer, always correct and current, doing an exemplary job.
	* Greywood – 19, 13, 6
	* The group has waning activity levels and needs some life breathed into the group.
	* The Seneschal’s position is open for applications without much interest. They got someone to apply after the deadline and the application which arrived at Round Table.
	* Loch Soilleir – 77, 40, 37
	* Exchequer coming up on their two years, time to open the office for applications or request an extension.
	* Brian has been an outstanding voice Herald.
	* Seawinds – 50, 25, 25
	* There has been a lot of turnover of officers mostly due to people relocating out of the region. Unfortunately their new membership base has not offset those moving out. They are brainstorming and working on good events and demos to get back up.
	* Was to hold Kingdom A&S but it had to be cancelled due to Hurricane Ike.
	* Stargate – 95, 51, 44
	* Doing well.
	* Westgate – 23, 15, 8
	* Hilary has done a great job as the Exchequer but her term is up and it is time to open the office.  I want to commend her for the many years of correct service.
 
Northern Region – 528, 305, 223
Mistress Elizavetta will be stepping down as regional Exchequer due to mundane issues as soon as an acceptable replacement is found.  I wish to thank her for doing a very good job under the circumstances and need to post the position as open for applications.
	* Adlerrsruhe – 42, 18, 24
	* This group absolutely is rocking with their probation. Ophelia has really got the group energized and on-time.
	* Exchequer rocks.
	* Bonwicke – 25, 23, 2
	* The previous seneschal had to step down suddenly and was replaced.
	* The group has severe on-going membership issues that need to be addressed immediately. The Kingdom Seneschal will be sending expectations to their Seneschal and Nobility.
	* Brad Leah – 18, 13, 5
	* Problems reporting and the regional is trying to get ahold of the officer or a local peer to address the issue.
	* Their fall event only had 16 in attendance and lost $600.
	* Exchequer done an excellent job, but has exceeded their three years of allowed warrant and the office is open and must be filled immediately.
	* Chemin Noir – 14, 8, 6
	* The group is doing okay, but needs to work on recruitment and retention.
	* Eldern Hills – 57, 38, 19
	* Group is having good activity level with some fluctuation of membership due to military activity.
	* Mooneschadowe – 45, 22, 23
	* The group is probably the most activity which makes the lack of required membership numbers disappointing. The group has severe on-going membership issues that need to be addressed immediately. The Kingdom Seneschal will be sending expectations to their Seneschal.
	* Chronicler has not sent report copies of newsletter to Kingdom or Crown since August.
	* Issues with website has all been worked out and is a premiere site for a group in this Kingdom.
	* Namron – 69, 40, 29
	* Repeated problems with Master Aethelstyn not reporting and not getting waivers in. There is now a new Seneschal who has addressed the worst of the backlog, but still over 75 days late on some waivers.
	* Event report and NMS for Namron protectorate is 69 days overdue.
	* Chronicler has not sent report copies of newsletter to Kingdom or Crown since August.
	* Northkeep – 128, 73, 55
	* Waivers and NMS for Winterkingdom are overdue.
	* Kudos to Randall Lee, the outgoing exchequer, moved away but kept in touch to help with the transition from afar.
	* Chronicler has not sent report copies of newsletter to Kingdom or Crown since October.
	* Skorrgardr – 15, 10, 5
	* Some interpersonal conflicts with the group, otherwise just an okay group.
	* Wiesenfeuer – 110, 56, 54
	* There are waiver issues going over 75 days that should be addressed within the week.
	* Their Excellencies contemplated stepping down due to modern job issues, but were talked to and realized they could continue the duties through this year.
 
Southern Region – 496, 292, 204
Regional Hospitaler position is open for applications.
	* Bjornsborg – 101, 50, 51
	* The group reports no issues of note, although I will note that there have been personal issues between the local and regional Seneschals, but things seem to be going smoother now.
	* NMS and event report are late for Usrea Lyons.
	* History of reporting issues with the Exchequer office and needs to be reviewed. A reporting deputy has been assigned for this.
	* Blacklake – 17, 13, 4
	* Doing well, although there was a scare that the Seneschal had let their membership their membership which was caused by a name change in the corporate database.
	* Bryn Gwlad – 141, 82, 59
	* The only issue of note is that the Youth Combat program has been struggling more since transitioning away from the regular heavy/rapier practice night.
	* No 2009 budget or financial policy on file with Kingdom.
	* Issues with all local folks turning over on the financial committee at the same time.
	* Slight reporting issues with Hospitaler that has been corrected with all reports in the Kingdom’s mailbox when she got home from Round Table.
	* Ffynnon Gath – 33, 22, 11
	* They had their fall event cancelled due to Hurricane Ike, but it hasn’t affected the group adversely.
	* Raven’s Fort – 48, 35, 13
	* The local Seneschal is nearing the end of her tenure, but has done an outstanding job especially given some of the conflicts and personalities that she dealt with.
	* They had their fall event cancelled due to Hurricane Ike.
	* Shadowlands – 32, 18, 14
	* No Hospitaler report since September.
	* Seneschal has been reporting sporadically and it needs to be addressed. This is the reason for deadlines on reports and not done as a batch every couple months.
	* The members of this group are very energetic lending a hand to other groups in the Coastal or Southern regions including over 20 people showing up for demo XXX which is for children going through going through or recovering from chemo.
	* Tir Medoin – 37, 17, 20
	* Sporadic guild and fighting activities.
	* Outstanding job running Queen’s and will be doing the Roses Tournament with Shadowlands this spring.
	* Trelac – 60, 37, 23
	* The group is doing outstanding. They have the most practices of any group and still get their waivers in timely and accurately.
	* There was a problem with the group at Gothic where the gate funds were damaged due to an electrical short in the microwave. The funds that were not replaced by the Treasury department were covered by the local Seneschal since he felt responsible having made the decision for the storage location.
	* No 2009 budget or financial policy on file with Kingdom. November Exchequer report is missing.
	* Major kudos to the local Hospitaler Rizardo who is very active in the group doing an amazing job.
 
His Majesty gave the officers the clap for all the work they’ve done. It is now a tradition.
Vara did NOT expose herself, but she states that we are looking for positive publicity.
