I'm confused. If I understand the reason for the document and it's
Content don't seem to be in parallel...
What is the purpose of the document?
To be an available resource for the hospitaler to show new folks?
Teaching them who is who, and what each face is interested in?
The document you're gathering for sounds more like teaching them about
folks who used to play here....History based, not people /interest
based.
What about something designed to meet the need specifically.
Maybe something starting with standing officers, and then organized by
interest.
A simple web page could do this really easily, have it able to generate
a report, and then you'd have to flip around to use the hard copy.
The main page would be officers and links/page numbers to their
"profile".
Then an interest based table of contents.
Something like this (links not real)
Heavy_Weapons (pg4) - Armored combat. Swords, shields Big Bruises and
all that type stuff.
Light_Weapons (pg5) - Fencing, Epees, Rapiers, Lots of Small bruises,
and all that.
Then flipping to the Page/ clicking the link takes you to a detail page.

Seems like something like that would be really easy to whip up and

A simple web/database app would do the data-display and gathering, and

You could print out updated paper versions. You could keep the web app
local to a laptop, or let folks hit a public website and enter their own
details.
Alternately a Wiki could do this Really easily, but it would be only
online.
(gathering this kind of linked data sounds like a pain the petoot, to do
and organize by hand)
A simplified hardcopy only version could be just a domesday, with Photos
&armorials, instead of contact info. But with interested etc.
Or a smaller book with Folks who've agrees to be the Interest specific
contact point only.
That's all assuming I correctly understand the point of the book in the
first place.

P.S. Yes I'm volunteering to help with the development side of things,
if someone else takes care of deployment to the site/machine and data
gathering. (call it E-Barony) :)

And your assumption is incorrect. There are two versions and the more
complete version
contains much of the information you are talking about.
I would suggest talking with the chronicler and getting the information
she does have as a starting point.
Perhaps you can even share a database.

That's one of the points to doing this.
1. it gives more information then the Domesday book (Which I am
assuming is just sca name legal name and contact information.)
