Elfsea Business Meeting – July 20, 2009

B&B Report

Round Table Update – Elfsea is good

Gulf Wars –
•	Early On is changing  - now only people who can get there on Wednesday, will be allowed on.  You have Wednesday to set up your stuff and immediate area.  Thursday – Saturday you work for Gulf War’s staff and will be put to work setting up the war.
•	Gulf War Land Coordinator position is open for bids.  2010 you will work as the deputy of the current one, then get the next few wars on your own. 
•	20th Anniversary for Gulf War is in two years – 2011
•	The war is growing, but the land is not. There may be a land crunch; public areas in the camp are getting harder to create.  You must remember that your tent foot print includes tent ropes, so keep that in mind when telling the land coordinator your space needs and when buying a tent. 
•	We have to play by the host Kingdoms’ Rules, even when their rules are different and might be hard to follow.  This is a game that is a little different everywhere. 

No change to the rules of On & Off calendar events

Lyst will be held in Spring 2010, then it will start rotating every other year with the Rose Tournament, both high persona events. 

Black Star will be enforcing its rules about late paperwork for event ads.  If you miss the deadline, your event might not be official. 

General News about Barony:
B&B will be at Pennsic. Be good and have fun.

Scribal Night will not be on 2nd Monday of the month for awhile.  Elspeth’s work schedule has changed and the attendance was down due to summer travel.  Instead, people can pick up or drop off Charters at Moot.  Might be able to paint as well.  Kingdom always needs more AoAs and AoA level charters painted.

Katrina is the new Head of Retinue – if you are interested in helping out or learning how to be entourage, speak with her.  There are 4-5 events a year that are required.

Baronial College and Fall Event – Get award recommendation in NOW.  Crown wants at least 3 weeks to consider award recs.    Also be thinking about the Baronial Honors: Eastern & Western Towers, Portcullises, & Keystone.  

Fall Event – has been difficult
No Bid as of 7/20/09 – needed by Moot.  To be official, an advertisement needs to be in the Black Star by Aug. 1.
The B&B were not happy about the lack of bids.  It makes the barony look unhealthy. 
There is a site for $300.00 in Waco.
Discussion followed about event in general: marketing to the region, Artisan & bardic champions already pushed back, was too much taken on with the College, date not carved in stone, possibly combining it with Emerald Keep’s fall event (did not work), etc. 
Moot Update – bids were submitted and an announcement is pending. 

Old Thrones almost restored.  Baron looking for merman and mermaid finials for the sides of the thrones. 

Officer Reports:
Archery – Letter sent out about the old burlap targets. Could we donate them to DFT, their archery program needs help.  Our new ones are great for our needs.
Discussion kicked to the Finical committee.

Chamberlain – Post 30th Year.  A new inventory needs to be made.  Box of ropes missing, tent 
needs to be cleaned, new poles needed, and check out system might be re-worked.   
Wants to create a Photo inventory, trying to find a free weekend. 
Donations – Sylivus the Fop make 19 hand forged tent stakes for the baronial tent. Donated time and materials.

A&S – Tablet weaving class in Azle.  (Moot Update: two ladies from the Steppes area attended & one got the class at Wednesday Fighter practice.) 
August Class – 8/18/09 – will be Basic Calligraphy by Baroness Druinne
Discussion of what is needed for the Fall Event and from our champions.
A&S format will be:  up to 5 items made in the last 5 years with documentation. 
Bardic format: getting from Elanore

Chronicler – need reports now.   All officers should seed in at least one article regarding their area of expertise in the next two months. Will “pay” for extra articles.  She needs a deputy, in January office will open for Bids. 

Treasurer – have money and are in good shape

Rapier – will have a Saturday indoor practice

Baronial College - discussion of the status of it.  Teachers still needed, there are open spots. Heavy fighters needed, only light fighter teachers at this point. 

Seneschal – Notice about fighter practices.  When it is on the calendar, it is official.  If the marshal’s have to cancel it, there cannot be “unofficial” practice there.  Send someone there to get the waivers signed.

Offices that will be opening for bids for the January Roundtable: Minister of Arts & Sciences, Knight’s Marshal, Chronicler, and Treasurer. 
 If interested get with the officer to discuss.  Try being a deputy first. But being a deputy does not automatically mean you have to or will become the next holder of that office. 

Moving Business meeting:
Aug, Sept. & Oct. - will be at Daniel and Elaine’s house off of 820.  (Archery Marshal & Hospitaler, address in the Tiddings and look on the email list.)

 Moot Update:
Baronial College – Volunteers needed – gate, porters, teachers, etc. 
Come and learn, come have fun.

Hospitaler – Lots of new comers!  About 6-10 were at Moot.

Knight’s marshal – Come out on Wednesday. Sir Virgil will be in town, come hit him.
