Barony of Elfsea   September 26, 2015   Populace (Moot) / Meeting Notes

*Court was opened at 7:12 p.m. *

   -

   Their Excellencies gave thanks to all who participated in the Arlington
   demo on Saturday; everyone looked great and did a great job!
   -

   A certificate of appreciation from the Arlington library to
   SCA/Ansteorra/Elfsea was displayed.
   -

   Baroness Cassandra said she delivered 35 completed scrolls to the Sable
   Scroll at coronation and acknowledged everyone in attendance who had worked
   on the scrolls. In addition, Lady Cecelia, principal scribe, created the
   scroll for Kings Champion.
   -

   She also talked about the A&S workshops; encouraged everyone to attend,
   Lady Liadan has procured workspace at the Arlington theater with plenty of
   table space to lay out and work on complete clothing patterns. It is also a
   fun social day.
   -

   Baron William discussed kingdom event bids; every few years Elfsea needs
   to host one in order to maintain our finances to meet anticipated needs,
   and being in the central region has its advantages. If you are considering
   putting in a bid for a kingdom event for 2016, they are due either in
   November or December of this year.
   -

   Fifth Sunday joint practice with Steppes: He and the baroness recently
   talked about these with the baroness of the Steppes because sometimes the 5
   th Sundays are too close to other events such as Warlord or holidays
   (e.g. Thanksgiving). It was agreed with the baroness of the Steppes to hold
   only two joint practices per year; if more are desired they will look to
   their cantons to host them.
   -

   It has also been decided to hold Keystone meetings separate from
   scheduled events, and having separate meetings at other times will give
   them a chance to consult with Crown and prepare a nice charter. Three
   separate dates have been scheduled for Keystone meetings in the near
   future: Wednesday, Nov. 4th at fighter practice; Sunday, Nov. 8th at
   DFT’s populace in the park; and Nov. 12th at their home. Current
   Keystones are not required to attend all three. (In response to a question,
   he explained that the keystone is the baronial service award and carries
   with it an Award of Arms)
   -

   Any newcomers for whom this was their first event were asked to come
   forward (none were present).
   -

   Anyone who had participated in Saturday’s demo were asked to come
   forward and everyone who presented themselves received a special token
   (bead) from their Excellencies.
   -

   Anyone who had competed or served the barony at a recent event were
   asked to come forward and those who did received a warrior/service bead
   from their Excellencies.

*Lady Aoife, Seneschal*, was called to court to conduct baronial business:

   -

   Officer’s reports from Monday’s officers meeting are on the tables
   available to attendees; please let her know if you need one.
   -

   Warm thanks were offered to Al Aeryn who is stepping down as the
   chronicler after publishing the November issue of Tidings.
   -

   The land-o-crat for Gulf Wars is Countess Amelot; more information about
   Gulf Wars is forthcoming.
   -

   Award recommendations – please submit ASAP as DFT Yule is coming soon.
   -

   The Rapier Marshal is absent but he wanted those of the populace who
   approved the purchase of the Cut and Thrust equipment that it is being used
   every week; he also wanted to invite everyone to this weekend’s event,
   Siglo de Oro, being held in Austin (Bryn Gwlad). Please consider attending
   as there will be many activities.

*A&S Officer, HL Jeanne Marie*

Elfsea Academy: The next class is Monday, Nov. 2nd; the topic is an
introduction to SCA costuming. Instead of one instructor giving a class as
a lecture, she has invited five or six guest instructors, who will come
dressed in the clothes of their time period. They will explain their garb,
how they chose it, how it was made, etc. and then for the remainder of
class they will be at separate tables so students can meet with them
separately to discuss their clothing items. As always, class is held from 7
– 9 pm at the Polytechnic church on the Texas Wesleyan University campus.



*Hospitaler, Lady Aine*

   -

         She announced that her office is no longer open for bid. The
         central region Hospitaler will be making a decision shortly
as to who will
         be selected.
         -

         She discussed last Saturday’s demo at the Meadowbrook Center (for
         the Arlington Library). She stated the turnout was fabulous
with at least
         -

         40 SCA members in attendance (including Team Wolf Star); she also
         praised the displays and the chivalric and rapier
demonstrations; and noted
         at least 497 members of the public attended the event. She
displayed a list
         of everyone who requested more information about the SCA. She plans to
         contact everyone via email within the next few days.
         -

         Lord Herries noted that Team Wolf Star was invited by Lord Eber
         and Lady Liadan and they contributed to the success of the chivalric
         demonstration.
         -

         Lady Silvana offered her thanks as well to the artisans and
         fighters who participated.
         -



*Chronicler – Al Aeryn*

   -

         She noted that her office is still open for bid until Nov. 14th,
         after which the decision of who is to replace her will be made by the
         central region chronicler (Lady Diana the Just).
         -

         Officer reports for the December issue of Tidings are due by Nov.
         21st.   After discussion with their Excellencies, it was decided
         that the “Misrule Missive” will be discontinued; however if you have
         already started working on something like that to go ahead
and submit it.
         -

         All items (report, articles, etc.) for the November Tidings are
         due this Wednesday, Oct. 28th. However, Word Fame can still be
         submitted after that date.
         -

         She thanked everyone who went out of their way to make her job as
         easy as it was and asked support for the incoming chronicler, and to
         remember to submit creative items that do not get mentioned at moot.
         -



*Storage Shed Clean-Out*: The seneschal reminded everyone that the storage
shed clean out is scheduled for Nov. 7th to start at 10:00 a.m. Everyone is
invited, even if you cannot lift or carry, folks will be needed for
writing. A pizza lunch will be provided. She will send an email with the
location of the storage unit and it will also be posted to social media.
The entrance gate will be manned to allow access to the storage facility.
Everyone attending is requested to park on the western side of the facility
for the convenience of others needing to access their storage units.

   - *New Business*:

Elfsea Defender: One bid was received and reviewed by the Finance
Committee. The event site would be the Boy Scout camp Sid Richardson site
and the event autocrats would be Lady Aine and Lady Liadan. The bid
contains all requirements, including children’s activities, youth events,
and activities to engage the populace as a whole, to encourage populace
participation. It also contains an OOPS competition, and bardic, hafla and
campfire activities. There will be chivalric, rapier and archery
championships being decided. The “break even” point is 147 paid adults
although attendance is anticipated to be possibly 200 or higher.  The
“break even” count for feast is 100 and the anticipated profit from the
event is expected to be at least $700.   At this time, since ACCEPS was
discontinued, there is no way to prepay for the event (Baron William said
he will look into this matter). Lady Aoife mentioned that PayPal is under
discussion to become the next option, although timeline and details are
unknown at this time.   The keystone advisor for the Autocrats is Mistress
Ameline.

HL Jeanne Marie asked if cloaks would be needed or if there are current
ones that need freshening up. Baroness Cassandra said they have them all
although they all need freshening up; Elfsea will start a yearly rotation,
to repair/replace each cloak, one per year, on a five-year rotation.

   -

   Lord Franklin asked for a breakdown of specific expenses, which were
   listed as follows:
   -

   Site fee – $500
   -

   Site tokens – $100 (they are pewter cast coins; if the cost exceeds 100
   the artisan will donate the excess cost)
   -

   Children’s activities, including thank you tokens for helping with
   serving and water bearing – $80
   -

   Decorations – $100
   -

   Transport (U Haul or another carrier to transport all items in one load
   from storage to site) – $500
   -

   Feast – $1000 (this full amount may not be needed)
   -

   Water bearing – $80
   -

   Site fee: 18 and up – $10 / 5- 17 – $5.00 / Under 5 – free / Family max
   – $30 / Feast – $10
   -

   Merchants will be invited to run taverns for breakfast and lunch but the
   agreement will include a noncompetitive clause to not serve during feast.

   - *New Business from the Populace*:

      Master Caelin stated he is teaching a First Aid/CPR class at his home
      this Sunday, Nov. 1st, beginning at 8:00 a.m. The cost is $20 per
      class or $40 for both.
      -

      Kyngescreke Tournament follow-up: Baron William awarded warrior beads
      to Lord Franklin and Baroness Rixende’s daughter (Alyse) for
participating
      in the Kyngescreke tournament yesterday, Oct. 25th. Baron William
      added this event was such a success that the new canton has
decided to make
      it an annual event, as a celebration of the group’s being
elevated to full
      canton status.
