[Elfsea] Follow-up Notes: January Officers Meeting

Greetings, Elfsea.

First, let me compliment the officer corps on the meeting last night.  It
was lively, interactive, and everyone brought their A-game, as we had a lot
to discuss.  It was exciting to listen to Their Excellencies lay out the
vision for the barony in 2016-- and your officers and guilds are on the
move with each member of the populace in mind!

The follow-up notes from the officers meeting are attached at the bottom of
this message.  As usual, a few paper copies will be available at our
upcoming populace meeting, Monday, January 25th, 7pm at the Bedford Public
Library. I look forward to seeing you.

*BARONIAL COLLEGE:  REQUESTED CALENDAR DATE- SEPTEMBER 24, 2016 *

*Seneschal and B/B have submitted paperwork to Kingdom to move the date of
our Baronial College from August to September*.  This puts more space
between Elfsea’s two major events and Steppes Artisan.  The date currently
has not Central Region conflicts, as it was held by Loch Ruadh, and is no
longer needed.  The request is permanently for the last weekend in
September.


*BARONIAL HOLIDAY POTLUCK SET FOR MONDAY, DECEMBER 12, 2016*

Settled on date early, for planning purposes, to be obtained by Seneschal
as Library allows.  It is one week after DFT Yule and two weeks before
Christmas.  It will serve as both officers and populace and will provide a
scheduling break for both.


*FINANCIAL COMMITTEE: 2 SEATS OPEN FOR NOMINATIONS*

The seats on the Finance Committee currently held by Lord Edwin (Required
Officer) and Lady Meabhdh (Required At Large) have completed the allotted
time and are now open for nomination.  Nominations will be accepted until
the populace meeting to be held on February 29th.  The March Officers
meeting will vote on the nominees.

*BARON & BARONESS**:*

*“It has been a privilege to enjoy the SCA with this barony.”  - Baron

   *Looking Good!*  Elfsea presence at various events big and small has
   been tremendous—and noticed! Baron William loves the fact that other
   baronies are taking notice.
   -

      In a momentous stroke of brotherhood and goodwill, for the first time
      in a long time, ALL HOUSEHOLDS will fight one battle under the Elfsea
      banner at Gulf War!!!  This is going to be fantastic and a sight to
      behold.  Preparations are under way!
      -

      We need to build camp walls and canvas for Gulf War.  Our A&S groups
      and workshops are the perfect time to get all of this together.
      -

      Elfsea as a barony is preparing to submit a bid for Coronation.  It
      will consist of Step up/Step Down; Kings Champion; Side Board; and A&S
      Competition.  Baroness Cassandra will be the primary Event Steward
      and have a co-autocrat.  More details as we move further in the
      process.
      -

      Their Royal Highnesses, Prince Gabriel and Princess Sonya, will
      attend both our Wednesday practice and January populace meeting
and want to
      meet as many Elfsea members as possible.




      -

   *Demos:* The barony currently has three required demos to fulfill the
   educational requirements:  Arlington Public Library (yearly), Boy Scout
   Jamboree (triennial), and DFT’s demo (yearly, currently seeking new site).
   2016 sees all three on the calendar, along with the barony’s foray into
   kingdom-level events.

   Last year, the barony tested the waters and took on two extra demos
   (Azle and Watauga) and they were a great success, but required multiple
   resources and ran like mini-events.

   Because this barony is motivated, excited, and really good at demos… as
   a group, the officers and populace will need to begin balancing additional
   demos against actual events we are required to attend or responsible to
   run. A committee of various populace, officers, and B&B will be formed to
   hammer out an easy process.



   -

   *Yearly Reminder:* With the Baron and Baroness, officers are often the
   first faces seen by populace and newcomers and we are held to a higher
   standard.  Let us continue to follow rules set in place and help others
   do the same.  Our game depends on it!

 *OFFICERS**:*



*DFT Seneschal:*

   -

   The canton is currently operating in the black and is healthy.  Lord
   Franklin attributes this to great canton members and strong, ongoing
   support from the Barony.  The goal for 2016 is to increase interest from
   newer folks slowly, but more is needed. Currently researching events in the
   Stephenville area that could be an excellent opportunity to recruit and
   make contact.
   -

   The current Seneschal’s term will be completed in April and he will seek
   to become the next Knight Marshal for the Canton.
   -

   DFT’s next Populace in the Park will host the Baron and Baroness,
   Saturday, February 28, 2016.

 *Exchequer: *Filled but currently open for applications**

   -

   Office has had one application that is under review by the Central
   Exchequer’s Office.
   -

   Paid only three months on storage shed because pricing has increased by
   approximately $19 per month; we were not notified because the storage
   facility was mailing to old/incorrect addresses. Will need to bring updated
   pricing back before the finance committee and populace.
   -

   *Knight Marshal*: **Filled but currently open for applications**


   -

   Lord Absolon’s term is complete in seven months.  The February edition
   of the Tidings will contain the open for applications notice.  If anyone
   would like to take on this critical role, contact Lord Absolon and get with
   the Seneschal for application details.

 *Archery Marshal*: **Filled but currently open for applications**

   -

   Master Caelin’s term is complete in seven months.  The February edition
   of the Tidings will contain the open for applications notice.  If anyone
   would like to take on this fun position, contact Master Caelin and get with
   the Seneschal for application details.

 *Rapier Marshal*: **Filled but currently open for applications**

   -

   This office needs to be filled as Don Andreas is now in his 2nd year as
   interim (!)
   -

   Possibility of deputy on the horizon, but what is needed is a
   replacement.
   -

   If deputy can step on board, the Rapier Marshal may consider changing
   official practice dates and times.

*inister of Arts & Sciences*:


   -

   More weekend workshops are on the horizon.  The next scheduled are Feb.
   13th and 27th.  These are a fun “craft-a-thon free for all” according to
   the Minister and Deputy of A&S.  These are also critical as we prepare
   the baronial accoutrements for Gulf War!
   -

   MOA&S HL Jeanne-Marie complimented the folks in the barony who are
   perfecting, experimenting, and trying new arts.  She is noticing and
   sees the greatness.



*Nautilus Pursuivant:*

   -

   New Deputy, Lady Cecelia of Kent (Voice and Book); excited to be on board
   -

   Continue getting devices, badges, and names to her for registration.



*Hospitaler:*

   -

   Currently has request for demo in Watauga; will need to balance with
   current Elfsea plans.
   -

   Lady Silvana has received a request to have a knight or member talk to a
   Sunday school class on chivalry.
   -

   Plenty of garb in the garb box—more welcome.

    **Academie:*


   -

      Prior class was Awards/Insignia.  Different format, still good.
      -

      1 person so far on track to valedictorian--- but 25+ on track to
      graduate!
      -

      March is last class with graduation in April at Elfsea Defender… must
      be present to win.  Summer hiatus begins after last class and people
      can attend Academie Labs.

*Minister of Children:*

   -

   Elfsea has many kids showing up for events.

 *Chronicler:*

   -

   Considering having Officer words due Wednesday following populace each
   month, with populace deadline the following week… will clarify at
   announcements during populace.



*Web Minister: *Filled but currently open for applications**

   -

   Open for application.  Persons who have SQL-PHP experience are needed.  Must
   fill.
   -

   Any omissions or mistakes on web page, notify HE Sir Alejandro.

 *Chamberlain:*

   -

   No new information at this time.

 *Historian:*

   -

   No new information.

 *GUILDS**:*



*Cooks Guild*

   -

   Luncheon at Steppes 12th night was great success.
   -

   Group performed post-event follow-up on both luncheon and feast to
   obtain lessons learned to incorporate into Defender, Guardian, Yule, etc.
   -

   Gulf War kitchen will be in Elfsea encampment again (Headed by Guyon)
   -

      Cost TBD by next week
      -

      All money will be due by March 1st.
      -

      Whole plan or half-plan only.  No piecemeal.
      -

      Each participant must serve two shifts in kitchen to obtain pricing;
      or to skip serving shifts, a participant may pay double.

      Not available to anyone camping outside of the Elfsea area.

 *Scribal Guild*

   -

   Friday January 22nd hosted by Lady Elizabeth

   Friday February 19th OPEN for hosting; attendance can be 6-20 people;
   provide snacks and a table or two.

   Lady Cecelia requests that we put in award recs so that the scribal
   guild had projects.

 *Clothiers Guild*

   On hiatus until after Countess Amelot completes entourage for P&P.

      Lady Liadan and Lady Aine are in planning process.

      Coordinators are on hand; finalizing

      There is now one elevation occurring at the event.

   GULF WAR (March 2016)

      Pay Pal pre-registration ends February 15th.
      -

      *IF YOU WANT TO CAMP WITH ELFSEA*, you must pre-register and state as
      much. This gets us the best land for our needs!

      After you have pre-registered, send an email to our autocrat (
      roseamelot at gmail.com) letting her know the footprint of your tent
      (with ropes), the dates of your arrival and departure, and how
many in your
      party.

   ARLINGTON LIBRARY DEMO (October 2016)
   -

      Will *need a coordinator* to begin preparations.

      Last attendance was just under 500 and the Library thinks it will be
      bigger this year.

   BOY SCOUT JAMBOREE (November 2016)

      Will *need a coordinator* to begin preparations.
      -

      This is a triennial, very large event and helps us maintain
      extraordinarily low prices on the Boy Scout camps.
