The follow-up notes from our July Populace meeting are attached at the
bottom of this email. Thanks to everyone who took the time to attend. See

*Barony of Elfsea July Populace Follow-up Notes *
*Monday, 7/25/2016 *The meeting was opened @ 7:03 by the Seneschal, Lady
Aoife.
*General announcements included**:*
-
B&B absence due to vacation/out of town.
-
Very light business agenda.
-
Elfsea Academie is now being held at Buffalo Wild Wings in Bedford (1933
Airport Freeway). Lady Aoife relayed the message from the Academie
Pedagogue, HL Jeanne-Marie:
-
The academy has had very good attendance thus far.
-
The first class of the current semester was taught by Master Robin of
Gilwell about the history of the SCA and kingdom of Ansteorra.
-
The second class is August 1st and will have multiple instructors on
costuming and persona..
-
*Open Offices*:
-
Elfsea is still in need of a book herald (*Nautilus Pursuivant*).
(One application received)
-
*Archery Marshal* is currently filled but open for applications.
-
*Knight Marshal* is currently filled but open for applications; (One
stated interest)
-
*Chamberlain* is currently filled but open for applications;
-
Note: Our current Chamberlain is also serving as head of
entourage for TRMs.

The annual inventory is coming up (tentatively scheduled for
October 29th).
-
The inventory will most likely be run by the Seneschal and Deputy
Chamberlain.
-
October 29th as that is one of the few weekends which has no
events scheduled. As many hands as possible will be needed,
for a variety
of tasks and everyone was asked to put this date on their calendars.
-
*Seneschal* is currently filled but open for applications. Planned
step-down is January 2017 or earlier if an applicant is chosen. The
hope is for multiple applicants to give the Kingdom and B&B a robust
choice.
*Baronial Business Item / Populace Vote:*
*Event Bid:* Baronial College (October 1, 2016)
Lady Aoife announced that the Finance Committee met on Monday, July 18th
and voted to accept the single bid for baronial college, presented by Lady
Astridr, who will serve as Event Steward, with Lady Silvan as the co-Event
Steward.

It was noted that the event is expected to be smaller than the last
couple of years due to the absence of additional activities such as teas,
investitures, and circles. Also, this is the inaugural Sable Shield
Tournament at Bryn Gwlad’s event, which is expected to draw folks away from
this area.

*BID HIGHLIGHTS*:
-
*Event theme*: “*Share the Knowledge*” and will feature classes in
specific tracks on various levels. Classes for children (and
families) are
included and various children’s activities will be available.
-
*Location:* First Jefferson Unitarian Universalist church located at
1959 Sandy Lane, Ft. Worth
-
*Site fee:* $950 which includes multiple classrooms, kitchen and
access to the sanctuary; site is available from: 8 a.m. to 9 p.m., with
approximately 75-80 Parking spots (church lot and on the
adjoining streets)
-
*Keystone*: Master Sebastian
-
*Attendee Costs*: Adult Registration fee $20 / Adult Registration
fee with member discount: $15 / Youth Registration fee (age 6-17) $10 /
Family Max is $45. Registration fee includes sideboard lunch which
will be available during a 2.5 hour time frame during midday

*Site tokens*: No cost associated as they are being donated.
-
*Expected Attendance**:* 89 adult attendees are expected, with the
break-even point set at 83 adult attendees. The anticipated profit
from the event is $95.

*Rapier/Chivalric*: The church has approved heavy fighting and rapier
activities. Archery will not be allowed as there is no safe
space.
-
*A&S Activities*: The church initially put no restrictions on A&S
activities and is even okay with brewing/mead. However, Baroness
Rixende reminded the group that we needed to check on classes
that require
open flame. The Event Steward will check on that and report back to
the populace.
-
The sideboard lunch is a sandwich, fruit, veggie, and refreshment
bar and will require very little kitchen space. This is a large
kitchen and so it will be available for anyone wanting to
teach cooking
classes or mass-preparation techniques.
*Vote Outcome**:* Vote was opened to the floor.
The result was a *unanimous decision to accept the bid* submitted by Ladies
Astridr and Silvana.
*Officer Reports/Announcements**:*

*New Minister of Children (MOC)*: Lady Aoife announced that the MOC
position has been filled and publicly thanked Milady Liaden Orlanderson for
stepping into the role. She will be available to begin after returning
from vacation 8/8/16. She also requested that the populace take time
to thank the outgoing MOC (Lady Silvana Corwin) who has stepped up to
assume the office of Kingdom MOC.

*Finance Committee*: Within the next several weeks, the finance
committee will begin the tasks of reviewing the budget for 2017 as well as
reviewing and updating the barony’s financial policy, before bringing both
items to the populace for approval. There are many updates to be made,
including wording about gate, fees, and requirements for waivers at any
weapon-oriented activity (including archery and thrown weapons).

HE Sir Arthur, the Demo Coordinator for the *Arlington Library Demo*
(Saturday, Oct. 22) announced that we are using garage tents for this since
it is being held at the Levitt pavilion and there is a strict “no staking”
rule.
-
He is hoping to have populace members save as many plastic gallon
jugs as possible to be filled with water or sand and used as weights.
-
He is also planning a “Quest” activity for children to visit as many
tables as possible at the demo (i.e. “quest for knowledge”).
-
Baron Elfsea also requested that populace who attend make plans to
wear their finest.
-
NOTE: At this time, the City has no contingency plan for rain. They
are still looking for a back-up location.
-
Lord Franklin, the Demo Coordinator for the *Boy Scout Jamboree* (Friday
– Sunday, Nov. 11-13) announced the following:
-
This is a camping, multi-day demo.
-
He has started assembling the staff, which consists of officers
coordinating their fields of expertise (i.e., Marshals=fighting,
Hospitaler=displays and newcomer tables, MOAS=arts, displays, etc.)
-
The social media coordinator for the demo is Cat Gallon from House
Stone Falcon. She will be creating the invitation to surrounding
groups to join in, and creating a coordinators page to help with planning.
-
Lord Franklin will also open discussions with the Cooks Guild to
possibly provide a meal plan for those working the event.
-
Lord Franklin will schedule another meeting with Jeff Peters (our Boy
Scout liaison) within the next couple of weeks for continued planning of
our participation.
-
He also extends a warm thanks to everyone who has offered to
volunteer thus far. Franklin mentioned that he currently does not have a
co-coordinator—although he has Baroness Janie serving as the Keystone (a
role not technically required for Demos).
-
He would like a newcomer or newer person to be the co-coordinator
and welcomes anyone who wants to learn.
-
Lord Franklin also gave an update on *DFT Yule* (Saturday, Dec. 3).
-
He introduced his co-Event Steward, Lady Aoife, who is also the
social media coordinator. She has a Facebook invitation pages and
announcements ready, but will not go live until mid-August.
-
Baroness Janie is responsible for the fund raiser raffle and has been
gathering really outstanding items for prizes.
-
Gate Coordinator is Lady Astridr / Feast Coordinator is Lady Eleanor
-
Registration fee will be $15 (adult registration with member discount
is $10) and feast will be an additional $5
-
Lady Al Aeryn will coordinate the A&S Competition and the theme is
“Wyrms” (two legged dragons). Any documentation must include proof
that the art was created in a peaceful way that harmed no dragons. DFT
is quite fond of them.

Lady Y’vette, the baronial *Hospitaler*, reported many newcomers coming
to practices. As head of the *Clothier’s Guild*, she is also able to
arrange for them to receive loaner garb. She requested donations of cloth
and fabric and mentioned the guild meets on the last Friday of each month
(Next one is July 29th at 6 p.m.) She is willing to teach anyone who
wishes to learn how to make a basic tunic.

Lady Aoife carried words from M’Lady Johanna, the baronial *Chronicler*,
reminding officers and populace members that the *deadline for the next
Tidings is midnight, Thursday, July 28th*.
-
Because we have so many newcomers hungry for information, we need
more content. Share what you know. Bring your interests to life.
-
Lady Aoife also conveyed a reminder from the TE’s of the critical
need for Word Fame. Especially as we come into award season.
-
*Web Minister*, Master Caelin, reported that he has access to change
most things. He needs to know what is out of date and what needs to be
fixed. Let him know! webminister at elfsea.ansteorra.org.
Since Master Caelin is also the current *Archery Marshal, *he allowed
Deputy Marshal HE Ker Megan provide the report. There was one attendee
at the first practice; no attendees at the second practice. Efforts
will be made to send practice reminders out earlier.

From the *Exchequer*’s office, Lady Astridr reported the bank accounts
are looking good and balanced correctly.

The *A&S Minister*, Lady Liadan, announced she has a new deputy, M’lady
Mavis Ramsay. They are planning A&S activities for both the demos and
baronial college.

*GUILDS* (not mentioned elsewhere):
-
*Scribal*: Lady Silvana stated they are doing well. This guild will
have its next meeting Friday, August 5th at the house of Lady Silvana.
The intent is to keep focusing on originals. ANYONE who is
interested is invited to attend-- even if they have little or no
experience. She will post reminders of upcoming meetings to the Elfsea
mailing list and the Elfsea Facebook page as well.

*Cooks*: Master Caelin reminded everyone the guild meets the second
Tuesday of each month and reminders will be posted to the list serve and
Elfsea Facebook page. Upcoming topics will include back-to-basics
discussions, such as knife and food storage safety. They are also
looking into working with Franklin for the Boy Scout demo.

Follow-up on *Elfsea Academie*: Reminder that garb for students is
optional but mandatory for instructors. Children are welcome. While it
is held in a restaurant and outside food/drinks are not allowed---
there is *no
requirement to purchase any type of food or drink*. The *next class is
Monday, August 1st* and the subject is “SCA Costuming” with discussions
and examples of clothing/garb from numerous cultures.

Lady Aoife reported *words from the Baron and Baroness* related to the
July 16 Roundtable: Their Excellencies were incredibly pleased with
positive comments about the barony and that there is no longer a concern
for the group as a whole. It was noted by the other Landed nobility
that Elfsea is into “all the things”, including officers moving into
kingdom and regional positions. Also of note is the Scribal Guild’s
foray and dominance of original scrolls for kingdom awards.

Also updates on the pavilion situation. *Presently the barony is
down to just the travel pavilion* for outdoor events; the others need
various types of repair or maintenance. There are plans to schedule a
staining party (for some of the pavilions’ support poles) at the home of
the baron and baroness when they return; please watch the list
and Facebook
for the date/times.

*Braggarts War* – Plans are in progress for the upcoming war between
the three central region baronies (Steppes, Bonwicke and Elfsea) for the
fall of 2017. In 2017, Elfsea will be responsible for the service related
activities of the war. Please refer to the officers notes from the July 18
th Officers Meeting for additional details.

Lord Absolon stated that his time as *Knight Marshal* is coming to a
close and that someone has expressed interest.
-
He also announced that Bedford Boys Ranch (previous site of Wednesday
fighter practices) has reopened. There was some discussion regarding the
desire of the populace to move back to BBR--- or remain at the current
location (Bob Eden Park in Euless).
-
He recognizes that while the fighter practice is the main event,
it has become a central meeting place for the populace at large and
amenities are important.
-
Several people have visited Bedford Boys Ranch and noticed a
different location at the park that might make it more
feasible (e.g. near
a gazebo and playground, with a flat area to practice).
-
To figure out what is best for the barony, Lord Absolon plans to
create an online survey to poll the populace to determine if
practice will
remain at Bob Eden or move back to Bedford Boys Ranch. This will
be posted to the populace within the next couple of weeks.
-
HE Rixende stated that she is about to step down as the Kingdom Youth
Rapier Marshal and as a result, the loaner equipment she has been using for
Elfsea’s youth practice will no longer be available. Lady Aoife
reminded the group that there are designated funds from a donation that are
available and it will be one of the topics on the upcoming Finance
Committee agendas. HE Rixende also reminded everyone that the barony
still needs a volunteer to become the YRM in order for practices to
continue.

Lady Aoife recognized the large group from House Stone Falcon and
thanked them for attending in masse. She thanked them for their willingness
to step in and help with various upcoming events.

Before the meeting was adjourned, Lady Aoife issued a final reminder to
submit folks for awards. We have major upcoming events and it is always
nice to recognize deserving members of the populace. It is one of the
ways we say Thank You.
