Curatorial Assistant/Administrative Assistant

Textiles/Costume


Responsibilities: The Curatorial
Assistant/Administrative Assistant position reflects
the various activities, departmental functions,
exhibitions, publications and special projects of the
curator. This position interacts with virtually all
departments within the museum, including Registrar's,
Publications, Development and Grants, Education,
Public Relations, Conservation, Design, Hirsch and
Image Libraries, Archives, Photo Services, and Retail
departments. The position's responsibilities are
divided between the permanent collection, exhibition,
and administrative duties.

Permanent Collection/Collection Management of Storage:
Assists curator with original research of permanent
collection items and maintains departmental and
designer files. Researches possible acquisitions
including market prices. Works with Registrar's office
on collection documentation and photography. Assists
curator during sub-committee meetings: prepares lists,
sets up objects to be shown and assists with their
handling. Assists curator with processing garments
into storage (involves knowledge of textiles and
construction methods) and oversees hanger project.
Assists visitors to textile storage and other museum
departments who utilize the space (Bayou Bend, Rienzi,
Asian, AOA, Decorative Arts). Supervises volunteers
and interns working in textile storage and on
miscellaneous projects. Assists in preparations of
loans from the Textiles and Costume collection.

Exhibition Support: Researches objects in exhibition,
drafts and edits label copy and catalogue text as
required. Maintains exhibition files, assembles and
distributes checklists and label copy, installs
labels. Oversees mannequin care, storage, and
transportation. Prepares historic textiles and
fashions for exhibition (involves basic sewing).
Orders change of location and photography requests for
loaned and permanent collection objects and
installation documentation; tracts loan objects.
Assists with photography of dressed mannequins and
flat textiles. Monitors exhibition.

Administrative: Provides secretarial support for
curator: types correspondence, reports, checklists,
manuscripts, purchase orders. Maintains all
departmental files, correspondence, and designer
files. Screens and directs telephone calls, and
handles inquiries. Orders supplies. Makes curator's
travel arrangements (including international travel)
and prepares travel expense reports. Runs occasional
errands and performs other duties as assigned. Handles
all arrangements for Textiles and Costume subcommittee
meetings: maintains mailing lists, sends notices,
arranges for room, audio-visual equipment
requirements, orders/oversees refreshments and room
set up/clean up, prepares agenda packets,
takes/types/sends minutes. Prepares occasional
meetings/events as required: oversees flyers,
mailings, RSVP lists, coordinates guests' travel
plans, reserves auditorium. Tracks fashion and
textiles exhibition budget and submits purchase
orders. Coordinates with conservation/organizes
textile conservator's trips to Houston when necessary.
The Fine Arts Fashion Event: produces/mails entrant
brochures, maintains database of participants,
coordinates with in-house departments for storage of
objects, accepts/prepares/returns entries, coordinates
judging, oversees dress-rehearsal and event.

Requirements: Strong research, clerical, and word
processing (Microsoft Office - Word, Access, Excel)
and organizational skills; strong research and writing
skills; including ability to produce meeting minutes.
Must be detail-oriented and able to multi-task.
Pleasant and professional telephone skills. Strong
interpersonal skills required. Attention to detail and
the ability to work both independently and in a team
desirable. BA in art history/costume history/ fashion
studies or museum studies. One year experience with a
museum costume and textiles collection preferred.
Broad background in costume and textiles, with a focus
on 20th century fashion. Foreign language skills
desirable. Ability to lift heavy boxes, mannequins,
and to climb ladders. Access to reliable
transportation for driving between museum facilities.

Date needed: November 2002.
Salary: Non-Exempt, Full Time - 35 hours a week.
Commensurate with Experience and Education.
