As a reminder, commentary ends on the 10th of August for the July 2011
Internal Letter of Intent. The meeting for the July ILoI will be held at the
Hotter than Hellsgate event hosted by the Stronghold of Hellsgate. The
meeting is scheduled for 2:00 p.m. and will be held inside the hall. The
website for the event is http://hellsgate.ansteorra.org/hotter.html.

The September Decision meeting will be held at Vyolante Drago do Porto's
residence in Bryn Gwlad. The address is 1215 W Slaughter Lane #216 Austin,
TX 78748. While this is a private residence, it is open to the public and
anyone may attend who wishes to. The time of the meeting will be at 2:00 pm.
I would like to thank Vyolante Drago do Porto for opening up her home as a
meeting place.

Also, please ensure any computer generated submission forms match exactly
the original document with all the lines and boxes on them. The College of
Arms Handbook, Section IV.C.1 states: "1. Submission Forms - All submissions
must be on the forms currently approved by Laurel. Appropriate forms must be
included for all submissions, including appeals, resubmissions, name
changes, etc. Forms are not required for administrative actions, such as
transfers, releases, and heraldic wills." Failing to use the standard form
available at http://heraldry.ansteorra.org/submissions.php and not having
all the required elements on them risks having the submission returned for
not using approved forms.

Finally, we have gotten several submission that were printed on color
printers. Please keep in mind the May 2008 LoAR cover letter in which Wreath
writes:" An increasing number of submissions have been placed into OSCAR
using color emblazons which are not scans of a colored emblazon; they are a
scanned copy of the black-and-white emblazon which has been colorized using
a paint program. Beginning at the March 2009 decision meeting, these items
will be returned without consideration on their merits, regardless of any
commentary on the item. Too many of these colorized emblazons are colored
incorrectly and require pending, and, fundamentally, they are a violation of
the Admin Handbook, section V.B.2.e which requires that there be "an
accurate representation of each piece of submitted armory" on a Letter of
Intent. We realize that there may be scanning and monitor issues that cause
the colors not to match for all commenters, and will make allowances for
this, but anything obviously re-colored will be returned." If the submission
does not follow these guidelines, there is a good possibility that it will
be returned.
