GENERAL DESCRIPTION

 

Performs skilled clerical and administrative office support activities and complex data quality control work. Employees at this level follow standard practices that do not require frequent supervision of details .

 

 

MINIMUM REQUIREMENTS

 

Education and Experience

 

Graduation from high school or equivalent plus two (2) years clerical, secretarial or administrative support experience. College education in business administration or technical training in clerical, secretarial or office administrative support areas may be substituted for experience on a year per year basis. (Experience requirements may be satisfied by full-time experience or the prorated part-time equivalent.)

ESSENTIAL DUTIES

 

Provides administrative support in an office and maintains a responsive relationship to the day-to-day activities of supervisors and staff .

Answers the telephone, evaluates telephone requests, answers questions and routes as appropriate .

Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information .

Receives, sorts, opens, evaluates content and distributes mail; as required may drive to deliver/pick up confidential or time sensitive correspondence.

Prepares, assembles and verifies various documents and forms.

Enters and retrieves data on a personal computer.

Serves as a receptionist and screens visitors.

Types warrant transmittals and processes bills for payment.

Provides assistance to the public.

Learns to use database, spreadsheet and graphics software applications to prepare reports or presentations .

Proofreads input data for correct coding; proofreads output data to confirm entry accuracy.

Operates a variety of office machines.

Assists others in making copies.

Performs other job-related duties as assigned.

 

 

CONDITIONS OF EMPLOYMENT

 

Driver's record check will be conducted by the Department. Satisfactory driving records are required for driving state or personal vehicles and motor driven equipment to conduct agency business.

 

External final applicants for any department position who could potentially be required to drive for the department must pass a drug test prior to employment and will be subject to reasonable cause testing during employment.

 

Successful completion of a post-offer/pre-employment physical exam at the employer's expense is required.
