[Ravensfort] Suggestions for promotion of and cancelation of activities

Greetings.....

Here are some suggestions on promoting activities and announcing the 
cancelation of activities via the email list or for that matter by any 
means of communications.

1. All activities needs to be promoted in a message separate from other 
information if at all possible.

This is cause, not all read the whole message and the subjects get 
intertwined or lost in the message.

Also, Many folks read only the subject line of to due to the amount of 
emails they get, thus if you are talking about another activity in a 
message that it is not specifically referenced in the subject line, then it 
may be missed.

Or as my Sales Manager use to say....put directions on the heel of the boot 
on how to pour it out of it.

Never leave anything to doubt or chance.

It is really hard to over announce something.


2. If you need to cancel an activity on short notice....Placing a message 
on the list the day of, or only a few hours before really does little to no 
good.

Not everyone reads their email everyday or even less, several times a day.

There is  not a good way to handle this. If possible go to the site of the 
activity and place a sign stating it is canceled. Have someone go there and 
notify those that show up that it is canceled.

Better yet...cancel it the day or more ahead if you think you may not be 
able to be at the activity.


Raven's Fort is a small group. One could even phone several key figures and 
let them know and they could handle the activity or pass along the word or 
something. But it needs to be done more in advance that the day of or a few 
hours prior to the activity.

These are suggestions that have come from feed back concerning last minute 
cancelations and activities that are under attended due to insufficient 
promotion.

Please take these suggestions as helpful hints and a means to get the word 
out more timely and to more people.
