First Letter about the Southern Regional Event, mailed 3/23/99 to Local
Seneschals and Sir Burke and Sosha.
<p>March 22, 1999
<p>Dear <Seneschal's Name Inserted Here>
<br>Recently, there has been discussion about our region holding a Southern
Regional Champions event. This idea has been met with considerable
excitement on the Southern Regional electronic mailing list. Master
Ivar Runamagi and HL Isobel Hadleigh have agreed to Steward the event.
At this time, we are presenting this event idea to the Southern Regional
groups, through the local seneschals, for their approval. This letter
is designed to ask your group's assistance in getting this event off the
ground and onto the Ansteorran calendar. Please present the contents
of this letter to your populous at your next business meeting (or at any
other gathering of your populous).
<p>There are several special requirements for Regional Events (per Sir
Burke, Kingdom Seneschal, and Lady Sosha Lyons O'Rourke, Southern
Regional Seneschal):
<br>1. There can be only one regional "Champions" event per year.
If all the champions are NOT chosen at this event, then the other championships
have to take place during normal calendar events sponsored by individual
groups.
<p>2. To have this type of event NOT count as one of the calendar
events that a single group is allowed per year, at least three groups in
the region must agree to sponsor the event. Please note that this
does NOT necessarily mean that a sponsoring group is obligated to financially
contribute to the event. All that being a sponsoring groups DOES
is tell the seneschalate that you are supporting this event.
<p>3. We cannot get a calendar date until we DO get the support of
the region, and a commitment from 2 other groups, as discussed above.
<p>Please vote:
<br><i>Does your group want there to be a Champions Event?</i>
<br><i>Is your group willing to be considered a "sponsoring" group?</i>
<p>What is needed of groups at this time:
<p>1. A letter of sponsorship from groups desiring to do so, for
us to show Lady Sosha.
<p>2. A single representative from each group to serve as liaison
to the Stewards of the Event, who will attend a planning meeting, to be
held at Tempio's Hero of the Temple event, on May 7-9, 1999. The
meeting will be held on Saturday, starting around 3:00 P.M. and ending
no later than 5:00. Please note that this meeting is open to -all-
who wish to attend; the representatives of each group will be responsible
for reporting the conclusions of the meeting to the populous of their groups.
<p>3. Comments on the Following:

<blockquote>A. Can you think of any other champions needed, beyond
the following: Chivalric, Rapier, Archery, Live Weapons, Arts and
Sciences, Brewing, Bardic, Equestrian.
<p>B. Do you feel that any of the above championships are not needed
at this time?
<p>C. Does your group regularly use a site that can support all of
these competitions at the same time (or nearly so)? If so, while
working with the Event Stewards, would your group be willing to take on
the obligation of reserving, preparing, and maintaining the physical aspects
of this site? How much does this site cost and briefly describe the
facilities.
<p>D. Would your group be particularly interested in organizing and
running one of the Championships listed in question A? (Note…this
means organizing the manpower and equipment and assisting with prizes)
If so, which one?
<p>E. Would your group like to sponsor a feast? If so, please
give us the name of the feastocrat proposed, the number of people who can
be served, a sample menu, and a rough idea about cost.
<p>F. Would your group like to be involved in coordinating the Gate,
and assure that a mixture of people from across the region participate?</blockquote>
<p><br>4. A timely reply to the questions raised in this letter,
to be sent either to Isobel in electronic format (gtaylor@lonestar.utsa.edu)
or to Ivar via U.S. mail (Mike Scofield, 5430 Oxbow, San Antonio, TX
78228).
<p>5. At the meeting we will be discussing the following topics.
To help the meeting to flow efficiently, please put your ideas about the
topics presented below, in WRITING, and give them to the stewards at the
Tempio meeting, or send them in (as individuals or a group) beforehand.
Note: this is not mandatory…but will simplify the lives of the stewards.

<blockquote>A. The roles that our Southern Regional Officers should
play in this event.
<p>B. Should only people who live in the Southern Region be eligible
to be a champion? (This IS the case in the Northern Region).
<p>C. It has been proposed that the combat championships be of a
style where skill, honor, and chivalry can optimally be displayed.
Please submit ideas.
<p>D. Arts and Sciences is open to all. This includes Laurels.
Documentation required. Do we want it themed? Do we want it
to be single work, or body of work, or recent works? Do we want separate
brewing/bardic components? What would be the format for bardic and
brewing competitions?
<p>E. Type of champions: It has been proposed that each category
of competition should have 3 champions…one chosen competitively, one chosen
by a panel of their peers, and one chosen by popular vote. Do you
think that this format should be followed with all type of competitions?
<p>F. It has been proposed that this Event be held over a 3 day weekend
to spread out the competitions. Please comment.
<p>G. Titles for the various champions: Do we want the same overall
title for all champions, or do we tailor each title to the type of competition
(ex "Cavalier" or "Courtier" for Rapier). It has also been proposed
that the each champion be named after one of the "worthies" in history…thoughts?
<p>H. Other topics that we didn't think of:</blockquote>
