way it usually works inthe offices i work in/for ... you have the
"hot file's" that stay in paper format ... as part of some persons
job, older ones are routinely scanned & archived to suitable media
(optical, CD, ... whatever is suitable for your retention policies)
.. every so often the older hot files are culled, indexed, and stored
offsite in your archives.

added benefit of having this stuff in electronic format, it's indexed
and easily available .. and if you need the origional, all you have
to do is consult the offline index files about what box it's in.

systems such as this are now easily availabe to just about any cyber
literate ... all it takes is a scanner w/OCR software, a good PDF
converter (i use Adobe Capture), and a CDRW unit ... and a organized
mind

solutions to solve some of the internal scadian problems that are
becoming more and more evident.
