*Greetings, Elfsea.*

*The follow-up notes for our November 23rd Populace are included at the
bottom of this email.  Warm thanks to everyone who was able to attend.  It
was good to see you!*

*As always, very special thanks to Lady Eleanor for capturing our meetings
so that those members unable to attend can still be part of the Barony's
business process.*

Barony of Elfsea

Populace Meeting Follow-up Notes



The meeting was opened at 7:18.



*Baron William* congratulated Elfsea’s new chronicler (Johanna de Verona,
MKA Pam Taylor) and thanked her for stepping up.

He also congratulated Herr Andreas von Miessen who was invited to join the
order of the White Scarf at Queens Champion. He also mentioned that
Centurion Eber was invited to join the order of Chivalry and be sure to
congratulate him if you see him. Also during Queens, Baroness Rixende was
asked to serve as the rapier general during the next Gulf Wars; and Lord
Hademar received a Sable Talon award!



*Baroness Cassandra* then discussed the requirements for waivers at all
barony events (practices, demos and events). The task to collect waiver
signatures has been given to a waiver secretary (currently the seneschal or
another waiver secretary) because it is a lot of work for the marshal to
collect signatures before beginning the actual practice. She acknowledged
it can feel annoying to have to show a blue card every week and please not
to think the secretaries are on an “ego trip” but it is for the protection
of the fighters (releasing them from potential liability) and the
organization. Even though we may know members have a blue card we may not
know the card’s expiration date and that is why it must be presented. She
urged cooperation with the ladies walking around with the clipboard, and
thanked the populace in advance for cooperation.  Lord Franklin of DFT
added that the Tor’s standard practice is to have everyone who participates
at fighter practice to sign the wavier form as it also serves as an
attendance roster.

A call was made for anyone for whom this was their first event to come
forward; Oliver Blankenship came forward (he is already an SCA member but
this meeting was his first barony activity).  Lady Aoife mentioned he has
already expressed interested as serving as deputy seneschal.

Anyone who had recently served or represented the barony was asked to come
forward; warrior beads (blue and white) were presented to Robbie Cook and
Baron Arthur for participating in the recent Arlington library demo and
service beads (gold stars) were presented to everyone who volunteered to
help with the storage shed cleanout on Nov. 7, the Arlington library demo,
and who had competed at Bordermarch Autumn Melees.



*Barony Business – Lady Aoife, Seneschal*

   -

   Lady Aoife asked if the new format for sending out notes from the
   Officers meeting was acceptable (embedding them in the email instead of as
   an attachment, as she had heard from quite a few people that they were
   unable to open the attachment). The verbal consensus appeared to be one of
   approval.
   -

   The kingdom is happy with us for continuing to submit our waivers in a
   timely manner.
   -

   Lady Aoife reminded the populace that the barony had a new Hospitaler
   (Y’vette Der Liebe) and stated there is no news from her office at this
   time.
   -

   The Knight Marshal wished to publicly thank Kaleen Percha and everyone
   who assisted recently with loaner armor repair.  It was also announced
   there will be no be chivalric fighter practice this coming Wednesday
   because it is the day before Thanksgiving (this will also be posted to the
   list and Facebook). If anyone wishes to hold a practice, it is alright for
   them to do so but it would not an SCA sanctioned practice. It was also
   strongly advised if one is held, not to have it where the barony has its
   regular Wednesday night practices.
   -

   Archery Marshal (Master Caelin) reminded everyone that archery practices
   are held on the second and fourth Sunday of every month from 1 – 5 pm at
   6600 Boat Club Road in Ft Worth.  Practice hours were changed from 2 – 6
   pm to 1 – 5 pm because it is getting darker earlier during this time of the
   year.
   -

   Lady Aoife conveyed many thanks from the Chamberlain (Countess Amelot)
   to everyone who assisted with the storage shed cleanout.
   -

   Chronicler (Johanna de Verona) – stated she has just started and is very
   excited to begin this task. She asked for all reports and anything else for
   the December Tidings to be mailed to her by midnight this coming Wednesday,
   Nov. 25th.  She is especially looking for “happy” items from everyone
   and not to forget word fame as well (you may use the same format for
   officers reports and word fame as is currently used).
   -

   Historian (Kazuki Umi MKA Mel Alley) was asked to stand and be
   recognized so the populace could see we do in fact have one.
   -

   Minister of Children (Lady Silvana) has no new information to report
   -

   Web Minster (Baron Alejandro) – please contact him if you have something
   on the barony page that needs to be changed or updated. Bear in mind due to
   his job, he will not be able to respond to you until after he gets off work
   in the evening.
   -

   Elfsea Academy – It was reported that the November academy class was a
   great success!  The December class will focus on the mentor/mentee
   relationship. Anyone who is interested in becoming a protégée, apprentice,
   cadet, etc. is strongly encouraged to attend. It will feature an all-star
   panel as instructors.
   -

   Cooks Guild (Master Caelin, principal cook) – Master Caelin reported
   that the Cooks Guild would be preparing the feast for DFY Yule and deferred
   to the feast-o-crat (Lady Eleanor) to provide more details. Lady Eleanor
   provided a list of the food items that will be served at feast and thanked
   Master Caelin for being her mentor and advisor.
   -

   Boy Scout Jamboree  (November 2016) – Baroness Cassandra explained this
   event takes place every three years (usually during the same weekend as
   BAM) and it will take place next year (in the parking lot of the Texas
   Motor Speedway). Please consider participating next year instead of
   attending BAM as participating in the jamboree (by setting up a medieval
   “village” and helping with their archery activity) is our “thank you” to
   them for allowing us to continue to rent their camping sites at greatly
   reduced rates. It is an excellent opportunity to show them and their
   families who we are and what we do (the last time it was held,
   approximately 8000 people came through the medieval village). We also often
   are given leftover archery equipment (arrows and targets). Not only that,
   for the fighters, it provides the most ego-boosting audience you would ever
   have!
   -

   Gulf Wars 2016 – Countess Amelot is the barony’s land-o-crat; she will
   be sending out more information soon. One item of interest is that PayPal
   is being looked at as a method to prepay. A decision about that will be
   forthcoming. The barony does plan to create “walls” made of painted canvas
   for its campsite (that would be attached to the barony’s large steel
   poles).  Painters’ canvas can be purchased from Lowes or Home Depot to
   create artificial walls around the Elfsea encampment (painted with your
   arms or other designs). You can still paint a canvas wall even if you won’t
   be able to attend Gulf Wars, and it was suggested this is something that
   could be worked on during one of Elfsea’s A&S workdays.
   -

   Kingdom event bids – The kingdom is in desperate need of bids to host
   events during the latter part of 2016 and first part of 2017.  As three
   examples, no bids have been received for the January 2016 roundtable or the
   summer and winter crown tournaments for 2016. If you are interested in
   preparing an event bid, Countess Amelot has put together a spreadsheet of
   upcoming events and the dates bids are due for them; in addition, Baron
   Arthur, Master Sebastian and Master Caelin can assist with locating event
   sites. It was also mentioned that the baron and baroness are working on
   some plans for future events which they will present to the populace at a
   later date.
   -

   Baroness Cassandra mentioned she and Baron William had discussed with
   the keystones what could be used as measures of the barony’s successes; and
   that our hard work is already paying off, we are viewed by the kingdom as a
   great example because of our enthusiasm and the extent of our
   participation. We are situated to jump in after January and to do more
   great things!
   -

   The Exchequer (Lady Eleanor) reminded the officers that if they had
   receipts to submit for purchases from their budgets to please submit them
   in time for a check to be issued to them before the end of the year.
   -

   Herr Andreas von Miessen announced he had been invited to join the Order
   of the White Scarf two weekends ago during Queens Champion; the ceremony
   inducting him into the order will take place during evening court at
   Tournament of Champions on Dec. 12th. Everyone is invited to attend; and to
   contact Countess Amelot if you would like to assist with something she is
   planning for him during the day.



*December events:*

   -

   The DFT Seneschal (Lord Franklin) reminded everyone that DFT’s Yule
   celebration was a week from Saturday (Dec. 5) at the same location as last
   year (Oakdale Park in Glen Rose). Many fun activities are planned,
   including the A&S competition, dessert competition, banner competition,
   table decorating competition and the fundraiser raffle. He is presently
   taking reservations for the feast and a list was passed around to make an
   advance feast reservation.
   -

   Baroness Cassandra mentioned that for anyone attending Tournament of
   Champions on Dec. 12, there are 35 blue pennants available and if you wish
   to have one to wave during the procession to bring something to attach it
   to (such as a pencil or a ruler).
   -

   Elfsea’s Christmas party will be held on Monday Dec. 21st (combined with
   the officers meeting) at the Bedford library. It is a potluck dinner (the
   barony will provide the meats) and will start at 6:30 pm. This will also
   include the award of baronial “rights”!  Please plan to attend and to
   bring a covered side dish if possible

Steppes 12th Night (Jan. 9)

Crown Tournament (Jan. 16) – hosted by the Canton of Myrgenfeld (Oklahoma
City, OK)

Kingdom Roundtable (Jan. 23) – location TBD



*February 2016 events:*

Candlemas (Feb 6) – hosted by the barony of Bryn Gwlad (Austin, TX)

War College (Feb. 20) – hosted by the barony of Raven’s Fort (Huntsville,
TX)



In conclusion, Baron William encouraged everyone to enjoy our time together
and with our families!
