Additionally, I would like to add that after the populace meeting, via baronial email and Facebook, Baronial College Bid Closing Date was extended to 6/27/16.
If you are currently working on a bid for our College, we encourage you to use the additional time to continue formulating your great plans.

Barony of Elfsea Populace Meeting Notes  5/23/16

Meeting opened at 7:06pm at the Bedford Public Library.

HE
William opened the meeting:

Baron William explained the reason for HE
Cassandra’s absence was her attendance at a family function and therefore
warrior beads would be distributed at the June populace meeting. No Newcomers
were present.Storage unit update: Two tentative offers for
storage on private land have been received. While it is acceptable to store baronial
inventory on someone’s private property, baronial funds may not be used for
this purpose. It would be acceptable to purchase or rent a
portable unit with baronial funds and place it on someone’s private property.Sir Arthur mentioned he had located a
possible location in Keller, if that would not be too far north.  The populace was encouraged to keep looking
for alternatives; the current facility is paid up through the end of June.









BUSINESS:

Master Caelin on Andrede (Deputy Seneschal) presented
baronial business in the absence of the Seneschal who was attending a family
function:

Bids for upcoming events:

Baronial
College (scheduled for October 1, 2016) no bids have been received so far and
the deadline is this coming Friday, May 27. Arlington
library demo (scheduled for October 25, 2016) no emails expressing interest to
coordinate the demo have been received and the deadline is Monday, May 30.The
Boy Scout Jamboree, held every three years, is scheduled for November 11, 201.
Two emails expressing an interest in coordinating this event have been received
and the deadline is also Monday, May 30. 







Officer
introductions and reports      

Seneschal:
Master Caelin spoke as the deputy seneschal. He explained the seneschal is the
business manager for the group; in medieval times, someone that had inherited
land would hire someone to manage the land for them and that is sort of how the
seneschal serves the barony. Also this individual is the only one who can sign
legal documents for the barony.

Baron/Baroness: HE
William stated that what the B&B do is seen.  

Exchequer
(Lady
Eleanor​*​ of Forth Castle): After accepting the baron’s thanks for serving in
this office, Lady Eleanor explained that the exchequer manages the finances of
the barony, keeps the checkbook, prepares the annual budget, prepares monthly,
quarterly and the annual financial reports and serves on the financial
committee to review event bids and other requests for purchases that must be
reviewed by the financial committee. She also stated this is her last moot as
the exchequer, that Lady Astridr Flokadottir  would assume the office as of June 1st
and that the transition was going smoothly. Minister
of Children (Lady Silvana Corwin): Lady Silvana stated we have an
awesome barony, one of the few that has as many children as we do, with many
activities and good things taking place. 
She mentioned in particular that M’Lord Viktor had won the Queens Hope
in the plastic division at Queens Champion two weeks ago and that her daughter
M’Lady Aila had received the Rising Star at DFT Guardian this past weekend. Her office is currently open for bid
and she is still waiting to find out if she will be appointed as the Kingdom
Minister of Children.  Chronicler (Lady
Johanna de Verona): explained her job is to publish the Tidings newsletter. She
reminded everyone the deadline to submit articles, reports and Word Fame is
this Saturday, May 28th (even if you are at Steppes Warlord and need to send it
from a tent or hotel room) and that she would send out another email with the
link to the Word Fame  google form.
Submissions of any type are appreciated. Knight
Marshal (Lord Herries Absolon of Hereford): He stated that it is
very fortunate that Duke Drake has been doing a huge push to get more
experienced fighters out to the weekly practices (counts, dukes, etc) even to
just come out even if they do not actively participate. After Warlord he will
have time to sort through the loaner gear in order to give some of it to DFT.  He also mentioned his warrant ends in September and his office is open for bid. Nautilus
Pursuivant  (Lady Cecila of
Kent): She explained the herald is the “ voice of Their Excellencies” (and
crown if needed).  She pushes court along
and makes announcements and is available to serve as lyst (battlefield) herald.
 She is also responsible to register
names, badges and devices (which any herald is able to do). Lady Cecelia is also working to update the
barony Domesday listing and will be sending out a Google document for everyone
to fill in with their names and any awards received, including those received
in another kingdom.  The form will be
emailed and also posted on Facebook. Gathering this information will also be
useful to update the kingdom’s OP (Order of Precedence). Baron Arthur added
that the Domesday information is very handy, as a place to see who is active in
which activities and who can be contacted if you have the same interests, and
also to see who has certain awards and who has a keystone in case you are
putting together an event bid.Lady Cecelia also serves as head of the scribal guild, which is responsible to
paint and design awards (charters and originals).  The scribal guild will be meeting monthly on
Thursday evenings over the summer months. Archery
Marshal (Master Caelin): The archery marshal is responsible for
holding twice monthly practices, on the second and fourth Sundays of the month
from 2-6 pm.  He is also responsible for
running archery activities at events or to ensure someone else is there to run
them.  He mentioned that there is plenty
of archery loaner equipment available and good instructors available for those
who wish to give it a try. Master Caelin also mentioned he runs the
barony’s cooks guild, which meets
monthly to learn about cooking for large groups, and how to follow standards
for commercial cooking.This leads to helping prepare feasts and
being in charge of cooking feasts. A&S
Officer (Lady Auerliana Gilabrio, the deputy A&S officer)  stated that most of the A&S activities have
been held at weekend workshops hopefully will continue on a monthly basis. They are also looking at including potluck
meals at these workshops which might be an opportunity for the cooks’ guild to
bring food items to be sampled. If you are interested in anything related to
A&S you should email the A&S Minister and she will direct you to the
right person to assist you.  Costuming
Guild: Lady Silvana Corwin mentioned the guild meets on the
fourth Friday of each month at their home from 6-9 pm; however this week’s
meeting would not be held due to the start of Steppes Warlord. DFT
Seneschal (Lord Franklin Whitenhale): His excellency thanked Lord Franklin for
putting on two really great events (Queens Champion and Guardian) this month.
Lord Franklin responded with thanks and appreciation to Elfsea for their
assistance and support with running both of those events. He mentioned the canton is going strong with
good people; heavy fighting practices will start shortly and voiced
appreciation for any loaner gear they can receive.His
term as seneschal ends in October and he does have a deputy
willing to step up to replace him. Historian
(Lady Kazuki Ume): She has received a collection of articles and news clippings
from the former shire of Loch Ruadh which she is reviewing and is looking for
someone to help her scan them so the originals may be returned. HE William suggested
she post her request to the list. Web Minister
(Master
Caelin): While the web minister is responsible for maintaining and updating the
website, he explained he does not yet have access to it; he also serves as the
moderator for the Facebook page and the official email list, both of which he
is able to access now. Officers/Deputies unable to attend due
to other obligations: Chamberlain, Hospitaler, and Rapier MarshalBusiness portion was closed.

William Closing Words:   Thanks
to everyone who volunteered to do items for the baronial champions; the
baroness is attempting to contact everyone who offered to make items at this
time.

HE confirmed that baronial college will take
place even if bids are delayed and plans to extend deadline are in placeSteppes Warlord is this weekend; a large
party is planned for Saturday evening and the baronial pavilion will be located
next to the Steppes pavilion (to provide shade for both days and also to make
one large covered area for the party). He is also aware that volunteers are
still needed for several activities such as water bearing.  However it is our time for our family to also
relax after putting on four events within a month and a half.Other Upcoming events:Emerald Tourney (Shire of Emerald Keep) June
3-5 at Camp Jim Braley King’s College (Barony of Namron, Norman OK)
– June 11Additionally it has been announced that the
Tournament of Champions will be held on Dec. 10 (the weekend after DFT Yule
Revel) hosted by the Barony of Stargate. Our champion is Sir Louis and we need
to start planning on how to create proper pomp and circumstance.
