Describing the piece and how you made it are perfect.  The 'ideal' is to have the reader be able to go out, in theory, and reproduce your piece.   Take care to describe how it would have been done in period and IF you differed why.  For example, I did not use gold leaf in my illumination because the cost is too high or I did not cook this in stone oven as my wife would have throttled me if I built one in the backyard. Photographs are always good....of the period example, of the piece during construction etc. Answer who, what, where, when, why and how.  Who would have used it, where would it have been used, during what period.  Why did I do what I did and how did I do it.   References from a website are fine.  In the baronial, don't sweat this, but if you intend to ever enter this piece in a higher level competition, more than one reference is good and books (primary sources) tend to be better than a website (secondary sources).  Your entry will NOT be thrown out, you may receive comments from the judges, but keep in mind, this is a learning experience!!!!  Sometimes that is tough to do, even for those of us who have done this a lot, but it really is.  If you take the good critique to heart and throw out any comments that are just totally off base, you can take your art to a higher level. I am attaching a copy of the documentation I wrote for my last piece for the Kingdom A & S competition for your perusal.  Not to brag (REALLY) but I was selected as one of the ten champions to compete for Ansteorra at Gulf Wars.  I say this only so you know that my documentation doesn't suck.  Feel free to use this in anyway helpful to you. Hey, if you have any questions, I am home recovering from some surgery....call me if you like.  735-3466.  I love this whole "teaching" and "sharing" thing and my job, after all, as the Northern Regional MOAS is to encourage arts and artisans.  This makes me happy!!!!!!!!
