I'm sorry you will not be able to make the meal you have been planning but I
believe it was badly handled by your Shire.  They should never expect a
single person in the group to foot the bill to pay for everyone else's
lunch.  Even with a promise of reimbursement from the donation money
(putting aside the legality of their "keep the profits" language which is
highly suspect).
