[Elfsea] Follow-up Notes: 4/18/16 Officers Meeting

Greetings, Elfsea.

Please see the attached follow-up notes from our recent Officers Meeting.

Note that the barony been so healthy, strong, and busy over the last
year, that a lot of positions are within six months of expiration.  Now is
the time for each of you to consider stepping in and keeping Elfsea humming
along.    Looking at the list--- it seems there is something for every
skillset.

Hopefully I will see each of you at the populace meeting this coming
Monday, April 25th at 7pm at the Bedford Public Library!

Having so many positions coming up for application is always a little sad,
but it is a testament to the strength Elfsea exhibited as we flexed our
muscles, came together as a team, and accomplished some pretty awesome
things.  The Seneschal position will be opened for applications in
June.  Another
example of how time flies!



Members of the populace are encouraged to put in your applications now so
that you can learn the requirements of the positions before the folks move
on to central and kingdom opportunities!

This officer corps set the bar pretty high--- but I am looking forward to
seeing other members step in and do amazing things.



*TIE-BREAKING VOTE / Position #4 (Officer Rep) on Finance Committee *

*INFO FOR OFFICERS:*

In the March meeting, the officers voted and Lady Eleanor was chosen for
Position #5 (at-large).  However, Position #4 (Officer Representative) had
a tie between Milady Johanna de Verona and Master Caelin Andrede.  This
meeting will have the officers cast the tie breaking votes.



*Results:  Master Caelin was chosen to be the Officer Representative on the
Finance Committee*.



*COORDINATORS FOR BOYSCOUT JAMBOREE and ARLINGTON LIBRARY DEMOS  & Upcoming
Bids*

*INFO FOR OFFICERS:*

These demos will occur in mid-autumn (end of Oct. and beginning of Nov.).

Coordinator(s) will be needed soon to begin planning with the respective
groups.

A brief letter of interest to the B&B and Seneschal will be required.

*These positions need to be cemented NLT mid-May 2016 so that planning can
begin.*



*At the April 25th Populace meeting, we will be opening bids for 2016

have had 10-15 newcomer inquiries with six total showing up at Defender and
Coronation.  Thanks to everyone for being a smiling face and answering
questions and making them feel at home.

- Loaner gear box could always use fresh multi-size items!

*AWARDS:* There is a need for physical awards: Western Tower, Eastern
Tower, Keystones, and a few others.  Please contact Baroness Cassandra for
details on what is needed and any hard requirements.  On most awards, there
is a fair amount of flexibility on the medium used.



*STORAGE OF PROPERTY: *Costs for this particular facility are raising
yearly.  We are paying more than most around us, and have reached a time
where it is beneficial to seek out new options.  The Baroness is asking
that anyone who wants to help or thinks there may be spaces available get
involved.  Current budget is set around $1,600+/- and we would love to
bring that down significantly.  Options can include non-Corporate storage
facilities, but there would have to be a contract and full access and
safety/security assurances.  This topic will be discussed in detail at the
Populace meeting and members are encouraged to ask questions and help find
a way to bring down that budget item.  (NOTE:  No less than 10’x20’)



*YOUTH LIGHT/HEAVY GEAR:*  Thanks to a generous donation by Lady Astridr,
youth rapier and boffer will be obtaining equipment.  There is also a
member of the barony who is in the beginning stages of applying for the
youth martial.  We anticipate that the barony could be ready for a youth
program within the next couple of months.  Fingers crossed!



*FACEBOOK EFFICIENCY:*  With the daily use and ease of Facebooking, it is
often forgotten that the baronial email is still the only approved/official
method of communication.   Sometimes, in our need to get information out
quickly and answer questions, we can inadvertently give incorrect
information or cause confusion.  When questions are asked online, it is
also far too easy to “tag” the officer or person in charge and presume that
they are on Facebook as often as we are--- and they may not be.  This can
lead to unrealistic expectation in rapid-response and inadvertently make
someone look like they are not “on the ball”.

*SOLUTION:*  *If you are on FB and a question is asked, and you know that
it lays in the field of one of our officers (combat, arts, history,
business, finance, etc.), instead of “tagging” the person, simply provide
their name and official Elfsea email.   This allows the inquiring person to
get into the official channel of communication.  *

*-DFT is hosting Queens Champion on May 14th and Guardian of the Tor May
20th-22nd.*

-The Canton is starting and A&S Guild and a Sewing Guild.

-There is a new DFT Rapier Martial, Lord Hadaris.  He comes from another
Kingdom and spent time in Japan and is creating excitement in the canton’s
fighting community.

The Barony had two fantastic events!  Our own defender netted a profit of
$1,164+/-.  The Coronation netted a fine profit overall.  After the 70/30
split, Elfsea brought home $359+/-.  Our total balance is now healthily
>$11K.  Lady Eleanor wants to thank ANYONE/EVERYONE who assisted with the
outstanding sideboards for both events.  The barony received a lot of
compliments and good PR.  Definitely, both events were team efforts.  Vivat!

badges.  She will provide status soon, but if you have a question or simply

-Submitted items require payment of a fee.  The Nautilus Pursuivant cannot
by policy handle these checks.  Documentation, designs, and paperwork is to
be given to the NP--- all checks are to be given to the Exchequer to be
logged and accounted for.  *This is a kingdom requirement.*

-The MOAS email is now fully functional and you can reach Lady Liadan with
all your questions.  She will be accepting applications for an MOAS Deputy.

-The next weekend workshop is May 7th at the same location in
Arlington.  Weekend
workshops are well-attended and really popular.  These will definitely
continue and she is working an arrangement to get us the space on a regular
basis.

Not a lot happening right now as they wait for the Kingdom history web page
to get up and running with a web minister.  Lady Kaz will begin working
with folks as required to put chronological history to the vast photos
submitted recently.

*Meets on the 2nd Tuesday of each month at Master Caelin’s house.  *

Met and discussed the successes of both sideboards (Defender and
Coronation).

The next topic is up for grabs. Come up with one and teach it!

meeting is Saturday, April 23rd at her house, 3-7pm.*



*VIVAT! Thanks to our scribal guild, Elfsea is now one of the top scroll
producing groups in the Kingdom!  It is motivating to travel to other
places and hear Elfsea names as the creators/illuminators/calligraphers of
the scrolls.  Motivating indeed.

*ELFSEA ACADEMY*

HL Jeanne-Marie

Academie is currently in hiatus. The next semester begins in July.

In the interim, watch for updates from HL Jeanne-Mariie on the Labs and
learning classes held throughout the semester break.

Glaslyn Defender is April 23rd.  Elfsea will have baronial and populace
presence to support a sister group.  Day shade will be provided and the
Elfsea members attending are coordinating a day-shade potluck for our group.
