6/27/16 Populace Meeting Notes

Meeting opened at 7:12 pm



*Baron William greeted the populace* and stated that he was glad so many
were in attendance and to see so many happy faces in the room. He proceeded
to:

   -

   Discuss the success of the recent Populace in the Park with Steppes; it
   was a traditional joint practice including a tournament which was won by
   Duke Creppin; the banner presented to the winning barony was displayed and
   will remain in Elfsea’s possession until the next joint practice which the
   baron stated will take place when the weather is cooler.
   -

   Welcome Newcomers.  All were asked to come forward, where they were
   welcomed by Their Excellencies and presented with tokens and shillings.
   -

   Recognize Service or Competition in the Name of Elfsea.  Anyone who has
   competed or served in the name of the barony was asked to step forward to
   be presented with warrior beads.  Lady Cecilia of Kent was recognized
   for winning the Bardic competition at Steppes Warlord and as a result is
   the new bard for the Steppes.

   *Officer vacancies:*

Currently open for application: Archery Marshal; Knights Marshal; Nautilus
Pursuivant; Minister of Children, Chamberlain, and her own position
(Seneschal). If you are interested in applying for any of these positions,
contact her at seneschal at elfsea.ansteorra.org.



   -

   *Finance Committee:*

The new financial committee was introduced: William and Cassandra holding
the B&B Position (required by position); Lady Aoife holding the Seneschal
Position (required by position); Lady Astridr holding the Exchequer
position (required by position); Master Caelin holding the Officer Rep
position;  and Lady Eleanor holding the At-Large Position.

Over the next few months the financial committee will be involved in
reviewing the submitted budgets and baronial inventory. All officers need
to be thinking about their upcoming office needs and prepping a
budget.   Additionally,
it is critical that the populace attend upcoming meetings to vote on the
budget, events, and expense requests.



   -

   *Baronial College:*

There are people interested in submitting a bid for the college, but there
seems to be lack of an adequate site.  More review and searching will
continue.   The only site listed so far seems to have inadequate parking.

The financial committee will meet at 6:30pm, July 18th, before the officers
meeting, to review any submitted bids.

If a bid is approved by the finance committee, it will then be presented to
populace for vote on Monday July 25th.  Members are urged to contact a
member of the finance committee with ideas for sites or contact information
of folks who might know of sites.   The site for the college requires
classrooms; possibly a kitchen; a large room/hall to use for court; and
adequate parking. It also needs to be available for a reasonable cost.
While it does not have to be in Fort Worth, it should be in the Fort Worth
area.

(*In order to address an audience question, the Seneschal also briefly
detailed the site requirements for Elfsea’s other annual event (Defender),
such as space for chivalry, archery, and rapier competitions as well as
camping/sleeping/RV spaces and preferably flush toilets.*)



   -

   *Arlington Library Demo:*

The date for the demo is Saturday, October 22nd, in conjunction with the
City of Arlington (which refers to it as a “Medieval Festival”.  It is very
well attended (495+ in 2015).

*The Demo Coordinator is Baron Elfsea, Sir Arthur*.  Please contact him if
you are willing to assist with any aspect of the event.



   -

   *Boy Scout Jamboree:*

This year the jamboree will be held on the weekend of November 11-13, in
conjunction with the Boy Scouts of America who give us discounted rates on
their camps throughout the year.

*The Demo Coordinator is Lord Franklin*.  Please contact him if you are
willing to assist with any aspect of the event.



   -

   *Officer Reports:*
   -

      *Rapier Marshal*: The Seneschal spoke on behalf of the Marshal.  Practice
      is held weekly, classes are held monthly; contact Duchess
Antigone of York
      with any questions.
      -

      *Hospitaler*: Lady Yvette stated that efforts to make newcomers
      welcome is going well and thanked the populace for their efforts.  Please
      consider donating time, material (fabric), or older tunics as
the garb box
      is in desperate need of tunics for newcomers who wish to fight.
      -

      *Chronicler*: The Seneschal spoke on behalf of the m’Lady Johanna and
      provided the reminder that the July Tidings deadline is midnight
on June 28
      th.  Officers and other items  (recipes, patterns, “how to”, as well
      as Word Fame). It was mentioned that since the newsletter is no longer
      produced in printed form there is no longer a limit on space or pages so
      the more items submitted, the better.
      -

      *Chamberlain*: The Seneschal spoke on behalf of the Chamberlain with
      a reminder that the office is open for application (duties basically
      consist of keeping an accurate track of the baronial assets) and that the
      annual inventory will be scheduled in several months.  Any questions
      can be directed to Countess Amelot.
      -

      *Web Minister*: HE KerMegan spoke on behalf of Master Caelin.  Members
      are requested to keep submitting web errors, corrections, updates, and
      broken links.  While Master Caelin does not have access to change the
      structural content of the website yet… he absolutely can correct
links and
      update information.
      -

      *Archery Marshal*: HE KerMegan spoke on behalf of Master Caelin.
      There were two sessions this month; one had 2 participants and the other
      was canceled due to extreme heat.
      -

         HE KerMegan also spoke on behalf of Master Caelin for the  *Cooks
         Guild*. The guild continues to meet at their home on the second
         Tuesday of each month although they are open to moving the location if
         desired. Master Caelin is considering taking the guild back
to the basic
         with discussions on knife safety and food safety.
         -

      *Historian*: Lady Kaz  reported has acquired a new printer/scanner
      and is about to start scanning original photos  she has received from
      the former shire of Loch Ruadh (some of which are from the 1970s). If
      members have any original historical photos or documents please give them
      to her. Lady Kaz is also willing to scan older scrolls.
      -

      *Minister of Children*: Lady Silvana announced she will be
      transitioning to the office of Kingdom MOC for at the July Round
Table and
      the barony’s office is now open for applications. It does require a
      background check and a credit check. Let her know if you are interested.
      -

      *A&S Officer*: Lady Liaden announced that as she has left her
      position with the Arlington Theater, which was the location
previously used
      for the weekend workshops.  Since it is no longer available, she is
      currently researching alternate locations. If members need
assistance with
      arts/sciences or general creation of all things beautiful, or want to
      become an A&S deputy, please contact her.  Keep her in the loop on
      your projects so she can put the info in her report.

      Lady Liadan recently taught her first class at the recent Kings
      College (silk banner painting).
      -

      *Knight Marshal* : Lord Absolon announced his office is still open
      for applications but that he has had some interest from various
members.
      He has also visited the Bedford Boys Ranch recently (our prior
      practice location) and is in the process of confirming the phase of
      completion so we could possibly move back there.  Lord Absolon will
      provide updates as he finds out information.
      -

      *Exchequer*: With the signature card at the bank updated, Lady
      Astridr’s transition to the office is complete. She announced
that she has
      already acquired a deputy (M’Lady Stephania Volkova).
      -

      *DFT seneschal*: Lord Franklin discussed the upcoming Boy Scout
      Jamboree demo and the importance of Elfsea’s and DFT’s participation.
      Our participation allows us to rent the various Boy Scout facilities
      (e.g. Sid Richardson, Worth Ranch) at reduced rates.

      Within the next few months of planning, he intends to contact all of
      the baronial and canton officers to discuss responsibility for
the various
      portions of demo this size.   If they cannot assist, he will need
      assistance finding someone who can (A&S for displays, Hospitaler for
      printed materials, Marshals for Fighting, etc.). Additionally, since this
      is a camping event, he is hoping the Cooks Guild will be able to
develop a
      meal plan to prepare and serve meals to those barony and canton members
      camping during the demo weekend.

      He concluded by letting everyone know that Dragonsfire Tor is doing
      well and that they are resting from hosting successful back to
back events.
      -

      *Nautilus Pursuivant*:

      Lady Cecelia stated that the office is still open for application.
      Any interested parties do NOT have to be an expert in any aspect of
      it…whether Heraldry or Voice/Court, it is OJT (On-the-Job Training).  If
      a member is interested in one but not the other, that is okay,
too!  Contact
      the Seneschal or B&B with questions.   Lady Cecelia stated that it
      has been her honor to serve as the Elfsea Herald.
      -

         Lady Cecelia also spoke as the outgoing head of the *Scribal Guild*.
         She voiced thanks to Lord Absolon, Lady Silvan, and her husband Lord
         Sebastian for all of their work to produce original scrolls.  She
         reminded populace that the Elfsea scribal community is now
the vanguard for
         the Ansteorra in creating works of art.  At this point, she also
         thanked Lady Silvana for her willingness to assume management of the
         scribal guild.
         -

         *GUILD / ACADEMIE REPORTS**:*

With all other guilds reported on at earlier times, Lady Silvana began the
report for* Clothiers Guild.*

She explained the guild was originally hosted and managed by Countess
Amelot.  Now that Silvana is taking on scribal and K-MOC, it is a perfect
time for someone else to assume responsibility for the Clothiers
Guild.  Presently
the guild meets on the fourth Friday of the month and also has its own
Facebook group.

NOTE: After Lady Silvana’s remarks, Lady Y’Vette Der Liebe volunteered to
assume responsibility for the Clothiers Guild. She also mentioned the
loaner garb box is in need of more tunics for fighting, or fabric to make
them.

   -

         *Elfsea Academie* – HL Jeanne-Marie announced the third Academie
         would begin on the evening of July 11th, 7pm – 9 pm.

         There is a new location: Buffalo Wild Wings Party Room, located at
         1933 Airport Freeway in Bedford. The first class will cover
the history of
         the SCA and will again be taught by Master Robin of Gilwell. She also
         stated that while members could no longer bring food and
drink, they could
         be purchased from the restaurant (the group will have their
own server for
         the evening); however *purchase IS NOT required*.  She has
         provided her phone number so members can contact her with any
questions,
         although she may not return the call immediately if at work.

*Baronial Court Business*:

   -

         Their Excellencies summoned Lord Sebastian and presented him with
         a personal favor from the Baroness Cassandra along with her thanks for
         working so hard for the barony as a “stealth” volunteer.  She
         explained that he is one who works behind the scenes,
fabricating awards,
         painting scrolls, and more.
         -

         Their Excellencies summoned Lady Cecelia of Kent and presented her
         with the Azure Pearl of Elfsea in appreciation for everything
she has done
         for the barony and the guidance and assistance provided to the B&B in
         particular.



*Closing Comments from Their Excellencies*:

   -

   Their Excellencies will not be attending the Fiber Arts Symposium nor
   Crown Tournament, but send their best wishes for safe travel and success to
   those who plan to attend.
   -

   Their Excellencies progress includes Round Table 7/16/16; Steppes
   Artesian; Glaslyn Artisan; and Bonwicke (September 2-5).
   -

   Their Excellencies were informed that the Kingdom of Caid loved the
   gifts from Elfsea.
   -

   The populace was wished a good evening and safe week ahead and the
   meeting adjourned.
