JOB DESCRIPTION
Performs skilled clerical and administrative office support activities
and complex quality control work.  Employees at this level perform work
independently on assignments; however, all unusual issues are referred
to the supervisor.

ESSENTIAL FUNCTIONS
Provides administrative support in an office and maintains a close and
highly responsive relationship to the day-to-day activities of
supervisors and staff.
Answers the telephone, evaluates requests, answers questions, routes
messages, and screens visitors.
Edits correspondence/production work for proper format, spelling,
grammar, punctuation, typographical errors, syntax, style and sentence
structure, content and clarity.
Composes routine reports.
Researches and collects information from the files for staff for
routine inquiries; refers non-routine requests to supervisor or
appropriate personnel.
Maintains and updates office files/records/logs and suspense systems
and a wide variety of automated systems in support of personnel,
finance, budgeting, inventory, contracts, purchasing, travel and
information.
Receives, sorts, opens, evaluates content and distributes mail.
Prepares, assembles, reviews and verifies various documents and forms.
Assists during emergency conditions/situations in answering or making
phone calls and monitoring radios.
Serves as a lead worker for clerical and technical personnel.
Schedules meetings, appointments and makes travel arrangements.
Enters and retrieves data on a personal computer.
Maintains records and inventories of materials, supplies and
equipment.
Serves as a receptionist.
Maintains a calendar for others.
Reviews and processes records of completed projects.
Assists in the development and preparation of special reports.
Assists with monthly contract letting process.
Reviews, prepares and negotiates applicable program purchases for
services, office materials, supplies, tools or equipment and monitors
contracts.
Prepares office budgets, revises program allocations as necessary and
coordinates with appropriate staff.
Posts applicable office ledgers and balances specified accounts.
Trains other clerical and technical staff.
Types warrant transmittals and processes bills for payment.
Provides assistance to the public.
Uses database, spreadsheet and graphics software applications to
prepare reports or presentations.
Assists on special projects.
Operates a variety of office machines.
Adjusts, services and performs minor maintenance on reprographic
equipment.
Assists others in making copies.
Assists others in the use of personal computer or mainframe system
applications.
Assists with layout and design of publications and documents.
Checks production work to verify that customer and supervisor
specifications have been met.
Runs printouts and verifies forms against computer printouts.
Conducts annual physical inventory; verifies inventory findings,
reconciles and enters adjustments on computer as needed.
Receives new, retires old and records transferred equipment; witnesses
and documents the disposal of retired equipment; ships obsolete
equipment to a central storage area.
Performs other job-related duties as assigned.

MINIMUM REQUIREMENTS

Education and Experience
Graduation from high school or equivalent plus three (3) years
clerical, secretarial, or administrative support experience.  College
education in business administration or technical training in clerical,
secretarial or office administation may be substituted for experience on
a year per year basis.  (Experience requirements may be satisfied by
full-time experience or the prorated part-time equivalent.)

CONDITIONS OF EMPLOYMENT
 External final applicants for any department position who could
potentially be required to drive for the department must pass a drug
test prior to employment and will be subject to reasonable cause testing
during employment.

 Driver's record check will be conducted by the department. 
Satisfactory driving records are required for driving state or personal
vehicles and motor-driven equipment to conduct agency business.
Required to wear personal protective equipment provided by employer and
comply with all safety requirements.

REMARKS

Employee may be contacted during off-duty hours to see if he or she can
report to work for emergency conditions.  

As part of its employment process, TxDOT may procure or have prepared a
