[Northkeep] Winter Kingdom Site

I see now that I responded directly to Kevin on this instead of back to the list. Here's what I wrote him earlier:

I told him the date in January was out, but asked if could check a possible alternative date for the weekend of Feb. 5-7th. When I hear back from him about whether or not they would say yes if we chose to use their site, I can check the December date. From experience though, this church has something going on nearly every day of the week. Last year, the whole month of their December Sunday services were special advent type things with extra details up in the sanctuary. *candles under every one of the several hundred seats and boo-koo candles on the stage, etc. --Very hard to clean up and rearrange* Since their main concern so far is making sure everything is re-set for Sunday after we were done, the December date sounds like it might be more of a stretch for them to say yes. I can always ask though. What sucks is that this is Bryan's last week and he would likely go for anything like this. His replacement, however, might not. He's just trying to be considerate and run things past others who would be there instead of him to handle this type of thing. I didn't hear from him today, but probably will tomorrow. I explained in my e-mail to him how the date thing was working, so he gets that it's difficult to schedule something on the kingdom calendar that doesn't conflict. He should be fine with inquiries about other dates. I also reassured him that Northkeep was a group of people who are super servant-hearted and that venues are left better than we find them. Hopefully, they say "Cool" and the date--whatever it is--is not already being used by them.
Tara
*still crossing her fingers and praying*

PS, for those familiar with Bartlesville, Grace Community church is that really big one on Nowata road, past Tri-County Tech and the Village Apartments to the right.

Note: If I hear back from him tomorrow, and he knows by then whether or not the people who will be there after him say they would go for this, I'll just ask which weekends are definitely free and let everyone know. I'll tell him someone will come look at the site (again, I'm more than happy to go too--they all want to see the baby anyway) and make a decision yay or nay with a specific date after that.

And why are we just now hearing about the January 30 date we were given as clear being conflicting with another Northern group? We need to get clear on potential dates and be perfectly certain on what we are committing to.

> The news so far---I called Brian (the admin) back just to tell him where to find site info for the SCA. When we spoke earlier, he asked if there was a website or something similar to reference the group when he talked to the folks there about it. I gave him sca.org then, but then I found that they have a document especially for site managers, so I called again to point that out specifically---He said he checked on the date, and it's clear for that weekend. That would allow us to set up on Friday as well. He asked if we would need to use their huge TV/projector screens or their sound system in the sanctuary--I said no probably not--just the overhead lights. With that info he said we're looking at about 400 to rent the entire building! I was shocked because that seems so low for a place like this. Now he's just going to do some more checking, so if this sounds like a good site (I told him that I would pass the info along and someone would likely want to
> come look before they make a decision), cross your fingers, pray, whatever--that they clear it. I think you guys would be really happy with this place!

I explained the group, what we're looking for, etc. He told me that this is actually his last week, and so he wants to run the info by someone else so he's not setting up a big event to lay in someone else's lap to handle later. He said he would do that checking and call me back--hopefully the price is right and the date is clear. One concern of his was that since it was a Saturday event, things would all have to be in place for Sunday morning church. This would likely involve moving the several hundred chairs from the sanctuary back in. This would take several hands, but I told him Northkeep is full of people who would lend their efforts to the set-up. Since I cleaned that place for months, the cleanup would be no sweat if several pitched in. Anyway, just waiting on that call back. It really is a very nice church with very nice
