[Tempio] Clarifications from the Southern Regional Treasurer

Greetings Tempio—

 

After attending you August populace meeting, speaking with your current Treasurer, reading through the list archives, and being Southern Regional Treasurer….. I feel a STRONG need to clarify some VERY important details.

 

   Just because you are not being charged for an event site DOES NOT mean that you can’t charge a site fee. 
   Event budgets are created, by the event steward then reviewed, revised (if needed) and approved OR rejected by the Financial Committee.

Event budgets need to be written so that the income from the expected attendance will cover the expenses of the event AND produce enough profit to help pay the local group’s other expenses.

 

Example—For Tempio that means if you are going to host ONE event per year the income from that event needs to cover the expenses of the event AND the shire’s yearly expenses (rental of meeting space/storage space, PO Box, etc.).

 

If you would like for me to come up and teach an event budget writing class I’d be more than happy to do so.

 

   The Financial Committee DOES NOT “rubber stamp” an event proposal or any other proposal put before it just because the populace, officers, and/or anyone else wants money to be spent. 
   Local treasurers (along with the financial committee) are required to be sure that their group keeps a certain minimum amount of funds available at all times.  In order to this they MUST look at each proposal that comes to them and make sure that said proposal will not put the group under their minimum. 
   It makes NO sense for a group to spend money on an event “just because they have money.”  We are a non-profit group, but that doesn’t mean no profit or spend every dime and have no money. 
   The populace IS entitled to know the proposed costs of an event or any other proposal  to spend money.  ANYONE IS INVITED TO ATTEND ANY FINANCIAL COMMITTEE MEETING.  However if you (the populace) do not attend the regular meetings of the group it is up to you to contact the correct people to get the information.
